We are seeking a highly organised and detail-oriented Administrative Officer to join our client's office in Port Melbourne. This role is responsible for supporting the day-to-day operations of the business through a combination of financial administration, office coordination, and general administrative support.
This is a Temporary role commencing ASAP, with the potential to transition into a permanent full-time position for the right candidate.
Working Hours: Full time hours Monday to Friday 8:00am to 4:00pm
Responsibilities
Accounts & Finance Support
- Process accounts payable and accounts receivable transactions.
- Enter supplier bills and customer invoices.
- Perform regular bank reconciliations.
- Maintain accurate financial records and documentation.
- Assist with account-related enquiries from suppliers, customers, and internal stakeholders.
Administration & Office Support
- Manage incoming emails and general correspondence.
- Provide day-to-day administrative assistance to management and team members.
- Coordinate diary management, appointments, and calendars.
- Organise internal and external meetings, including preparing relevant documentation and materials where required.
- Maintain and update records, spreadsheets, databases, and business documentation.
- Prepare and format documents using Microsoft Office applications.
Office Coordination
- Order and manage office supplies, stationery, and consumables.
- Monitor stock levels and coordinate replenishment as required.
- Support the smooth operation of the office and assist with general office administration.
Systems & Data Management
- Use Microsoft Business Central to support business operation
- Use Microsoft Excel for data entry, reporting, and spreadsheet management.
- Maintain accurate data across company systems.
- Assist with process improvements and administrative efficiencies where appropriate.
Logistics & Trade Support
- Provide administrative support for import and export activities.
- Assist with shipment documentation and logistics coordination.
Your Profile
- Proven experience using Microsoft Business Central / Microsoft NAV (ERP) - Essential to have
- Strong working knowledge of Microsoft Excel (basic spreadsheets, data entry), Microsoft Word and Outlook
- Excellent organisational and time management skills
- High level of attention to detail and accuracy
- Strong written and verbal communication skills
- Ability to manage multiple tasks and meet deadlines
