About the Role
Toll Transitions is delivering comprehensive relocation and removal services to Government and Corporate clients, including the Australian Defence Force.
We are currently seeking a Defence Administrator to support the Defence account across reporting, data analysis, procurement, stakeholder coordination and operational administration.
This is a quick-paced role suited to someone who is highly organised, analytical and confident managing multiple priorities and stakeholders.
Key Responsibilities
- Prepare and present monthly, quarterly and annual reports.
- Analyse and interpret data and provide clear and meaningful reporting to management and clients.
- Monitor and report on key performance indicators (KPIs).
- Prepare professional reports, presentations and documentation for clients and management.
- Attend client meetings and coordinate meeting notes and minutes.
- Provide administrative and operational support to the Defence Account Manager and Operations Manager.
- Build and maintain strong working relationships with Defence stakeholders and internal teams.
- Support procurement activities, including preparing and managing Requests for Quotation (RFQs).
- Obtain and assess supplier quotations and assist with procurement decisions.
- Raise, process and monitor purchase orders (POs) in accordance with company and client requirements.
- Liaise with suppliers, Procurement, Finance and other internal stakeholders to ensure procurement activities are completed accurately and on time.
- Assist with pre-billing and billing processes, including monthly invoicing where required.
- Liaise with reporting developers to amend or create client and business-specific reporting.
- Assist with identifying service issues, investigating problems and implementing practical solutions.
- Support testing and implementation of business and process improvements.
- Maintain accurate records and documentation.
- Ensure tasks and reporting are completed within required deadlines.
About You To be successful in this role, you will have:
- Australian Citizen or Permanent Resident - essential requirement.
- Previous experience in administration, operations, procurement, reporting or a similar role.
- Experience managing procurement activities, including RFQs and purchase orders.
- Strong Microsoft Office skills, particularly Excel, Word and PowerPoint.
- Strong analytical and problem-solving skills.
- Experience preparing reports and analysing data.
- Strong attention to detail and numerical accuracy.
- Experience working with KPIs, reporting or performance data.
- Excellent time-management and organisational skills.
- Strong written and verbal communication skills.
- The ability to manage competing priorities and work to tight deadlines.
- Strong stakeholder management and relationship-building skills.
- A customer-focused approach and professional communication style.
- The ability to work autonomously while contributing effectively within a team.
- The ability to quickly learn new systems, processes and industry requirements.
Important Requirements
- Must be an Australian Citizen or Permanent Resident.
- Must have no upcoming holidays or planned leave during the assignment.
- Ability to work from the Brisbane CBD office.
- Ability to meet the required start date and assignment duration.
Desirable
- Experience within transport, logistics,
relocations or a similar operational environment.
- Previous experience working with Government or Defence clients.
- Knowledge of Defence structures, reporting requirements or relocation services.
- Experience with billing, invoicing or financial administration.
- Experience working with procurement systems or ERP platforms.
