P1LLAR is a client-side project management and development management consultancy. We act for owners and developers across residential, hospitality, wellness and community projects in Victoria, with work now extending into New Zealand. We are a small, senior team with a solid pipeline of work.
That means real exposure to development and delivery decisions from day one, and it means the work you do matters immediately. It also means we need someone who can hold detail reliably without being chased. Our projects are exceptionally unique, with involvement in luxury apartments, geothermal hot spring facilities, memorial parks and 3D concrete printed townhouses.
About the role
This is a hands-on role at the centre of our projects. You will own the operational disciplines that make multi-project delivery work including meeting minutes, action registers, consultant follow-up, document control, procurement administration and monthly cost reporting. The first twelve months are weighted toward coordination and delivery support across our portfolio.
As you demonstrate capability, you will take responsibility for defined workstreams and smaller projects, with a clear pathway toward a Project Manager position.
What you will do Prepare accurate meeting minutes and maintain action registers across projects, and drive actions to closure
Follow up consultants, contractors and authorities on deliverables, information requests and approvals
Maintain drawing, document and revision registers, and keep project filing to our conventions
Administer procurement, including to issue RFQs, maintain tender registers, prepare comparison schedules
Run the monthly cost reporting cycle: collect consultant invoices, process them, prepare payment schedules for approval
Draft project control group and monthly client reports for review
Status project programmes monthly and flag slippage
Support contract administration through registers, correspondence drafting and deadline tracking
Prepare close-out and handover documentation What we are looking for Experience in project coordination or delivery support in the Australian property or construction industry
Written communication a client can rely on, including through minutes, correspondence and reports that need minimal editing
Numerate and comfortable with cost reports, invoices and payment schedules
Organised and self-directed, and comfortable holding others to deadlines
Strong Microsoft Office skills, including Excel, Project and SharePoint
Tertiary qualification in construction, engineering, architecture, property or a related discipline Highly regarded Site coordination experience on the contractor side
Contract administration experience on the contractor side
Development management experience on the client side
Mastt, Aconex, Buildpass, Procore, Microsoft Project
Demonstrated cost reporting experience
Exposure to AS4000 or AS4902, or residential building contracts
Sector experience in luxury multi-residential, wellness, tourism and hospitality, cemeteries and memorial parks
