Join a Melbourne inner-city council undertaking a significant enterprise transformation program. This is an opportunity for an experienced records and information management specialist to lead a compliant records sentencing and disposal program and strengthen information governance across the organisation.
Reporting to the Information Management Lead, you will work closely with the Corporate Records team, ERP project team, technology specialists and business stakeholders. Although this is a Lead-level position, it is a hands-on specialist role with no direct reports.
What you’ll be doing
You will take ownership of the council’s records sentencing and disposal activities, ensuring every decision is properly authorised, documented and compliant with Victorian public-sector requirements.
Your responsibilities will include
- Planning and delivering a compliant records sentencing and disposal program.
- Applying Public Record Office Victoria retention and disposal authorities.
- Reviewing and sentencing digital and physical records.
- Identifying records eligible for destruction, transfer or extended retention.
- Confirming legal holds and restrictions relating to FOI requests, audits, investigations and litigation.
- Consulting with business units to confirm record ownership, ongoing business requirements and disposal approvals.
- Coordinating secure and irreversible destruction of eligible records.
- Maintaining complete and auditable disposal registers, approvals and supporting documentation.
- Configuring retention rules, disposal triggers, metadata and workflows within Content Manager.
- Running system reports and queries and improving metadata quality and disposal readiness.
- Developing procedures, work instructions, retention mappings, approval templates and reporting packs.
- Providing specialist advice and training to business units and system users.
- Supporting audit and assurance activities and strengthening records management controls.
What we’re looking for You will be an experienced records management, archives or information governance professional with practical experience delivering records sentencing and disposal activities.
You will ideally bring:
- At least two years’ experience in records and information management, archives or information governance.
- Hands-on experience sentencing records and delivering compliant disposal activities.
- Strong experience administering or supporting Content Manager, previously known as HP TRIM, HPE Content Manager or Micro Focus Content Manager.
- Experience configuring or maintaining retention rules, disposal triggers, metadata, reports, queries or workflows.
- Knowledge of the Public Records Act 1973 and Public Record Office Victoria standards.
- Practical experience applying PROV retention and disposal authorities.
- An understanding of legal holds and restrictions relating to litigation, FOI, audits and investigations.
- Experience maintaining defensible, auditable disposal documentation and approvals.
- Strong stakeholder engagement skills and the confidence to provide clear advice on records management requirements.
- The ability to develop procedures, deliver training and improve information management practices.
