ABOUT THE FRED HOLLOWS FOUNDATION The Foundation is an international development organisation working to prevent blindness and restore sight. We continue to carry on the legacy of Professor Fred Hollows, who believed every person had the right to quality eye care, no matter where they live. The Foundation has grown to work in more than 25 countries throughout Africa, South Asia, Southeast Asia, the Middle East and the Pacific, as well as Australia. The Foundation has restored sight to more than 3 million people worldwide. We have an ambitious five-year strategic plan that aims to take us even closer to realising our vision of a world in which no person is needlessly blind, or vision impaired and Indigenous Australians exercise their right to sight and good health. THE OPPORTUNITY The Donations and Database Coordinator is part of the Donations and Database Team who are responsible for the management of the Supporter database, processing donations, delivering best practice supporter/ customer care to The Fred Hollows Foundation Supporters and Stakeholders and supporting the Marketing and Fundraising Team by providing data and insights.
KEY RESPONSIBILITIES The Donations and Database Coordinator will own the outcomes of:
1. Donation Processing and Financial Administration
- Process donations end-to-end (sorting, coding, importing, banking and receipting) across all payment methods, including physical mail and online
- Support the accurate reconciliation of donation income to Foundation bank accounts.
- Ensure all donation records are processed accurately and within agreed service levels.
- Maintain appropriate records and documentation to support audit and compliance requirements.
1. Supporter Care
- Deliver high-quality supporter care via phone, email and written correspondence.
- Efficiently manage supporter enquiries, requests and feedback.
- Support shared inbox management and ensure supporter requests are actioned in a timely manner.
- Build and maintain strong working relationships with internal stakeholders, including the Bequests and Philanthropy teams, ensuring effective communication and collaboration to support supporter administration,
donation processing and data management activities.
- Provide constructive feedback and suggestions to improve supporter care processes.
1. Maintain and Enhance D365 Database Integrity
- Assist with the overall efficiency, effectiveness, and integrity of the D365 supporter database.
- Maintain knowledge of D365 functionality and Foundation-specific business rules, processes and customisations.
- Ensure accurate data management practices are followed to support data quality, reporting and compliance requirements.
- Assist with data imports and data hygiene activities from third-party suppliers and fundraising partners.
- Help streamline and improve existing database, donation processing, and supporter service workflows.
- Support the ongoing documentation and consistent application of Donations & Database procedures.
1. Team Contribution
- Constructively contribute and collaborate with colleagues across the Foundation.
- Support onboarding and training of new staff, volunteers and temporary team members where required.
- Share knowledge and assist team members with database and donation processing queries.
- Demonstrate compliance with all legislation and The Foundation's policies and procedures
1. Other Duties
- Undertake other duties as reasonably requested by the Donations & Database Manager.
ABOUT YOU
- Excellent customer service skills with an authentic and empathetic phone manner.
- Meticulous attention to detail and professionalism.
- Excellent written and verbal communications skills.
- Possess solid reasoning and problem solving capabilities.
- Strong time management skills and ability to meet deadlines.
- Demonstrated ability to build and manage solid internal relationships.
- Considerate team player
- Advanced Excel skills and experience working with spreadsheets and formulas
- Ability to troubleshoot data discrepancies based on specific contract agreements with external suppliers
- Skills to identify and implement changes to procedures to increase efficiency
Desirable
- Raiser’s Edge and D365 or other CRM database.
- CRM migrations
- Administrative or support roles.
- Working in the NGO sector, specifically in Regular Giving
- Working as part of a successful team
