About the role:

As an Executive Assistant you will be providing comprehensive and proactive executive support to the Managing Director and Executive Team.

Key responsibilities:

- Manage complex and dynamic calendars, ensuring alignment to strategic priorities and critical business activities

- Coordinate and prepare meeting agendas, board and executive packs, briefing papers, and presentations

- Attend meetings as required, recording accurate minutes and tracking actions through to completion

- Draft high-quality correspondence, reports, and communications on behalf of executives

- Maintain forward planning schedules, including key organisational milestones, reporting cycles, and deliverables

- Support governance processes, including document control, approvals, and record management

- Act as a key point of contact for internal and external stakeholders on behalf of the MD and Executive Team

- Screen, prioritise and manage incoming correspondence, enquiries, and requests

- Coordinate travel, accommodation, and logistics for the MD and Executive Team

- Manage expenses, invoices, and procurement processes as required

- Identify opportunities to improve executive support processes, systems, and efficiencies





- Maintain organised and compliant electronic and hard-copy filing systems

Key requirements:

- Demonstrated experience supporting a senior executive (CEO/MD level highly desirable)

- Experience in complex, multi-stakeholder environments (e.g., government, regulated, or operational businesses)

- Proven ability to manage competing priorities and deadlines at an executive level

- Exceptional organisational and time management skills

- High-level written and verbal communication skills, including preparation of executive-quality documents

- Strong attention to detail and accuracy

- Advanced proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel)

- Ability to exercise discretion, confidentiality, and sound judgement

- Solid stakeholder engagement and interpersonal skills

- Ability to anticipate needs and operate proactively with minimal supervision

- Adaptable to changing and competing priorities, with an ability to work under pressure and meet deadlines
