About the role
Your primary objective is to support the CEO by providing high-level administrative and operational support, enabling the CEO to focus on core business matters. This includes assisting in the smooth running of the organisation by providing support to program and corporate areas.
Key Responsibilities
- Proactively manage the CEO’s calendar (business and personal) by organising meetings, making travel arrangements, preparing supporting material and attending to all other details.
- Prepare relevant briefing material for the CEO ahead of meetings.
- Act as a point of contact for internal and external stakeholders, appropriately screening and prioritising contact, and providing a conduit of information to the CEO.
- Manage the CEO’s email correspondence, prioritising / directing incoming correspondence as appropriate and drafting and / or sending responses as appropriate.

- Support Board and Committee governance processes in partnership with the Company Secretary, including meeting coordination,
Board paper management, action tracking, records management, and compliance with corporate governance requirements.
- Manage all electronic and hard copy records as required for the CEO function.
- Maintain accurate details of all stakeholder contact information and keep the CRM up to date.
- Provide high level administrative support for major funding applications and reports.
- Assist the Executive Officer / Company Secretary with arrangements for Aurora board meetings.
- Attend to logistical arrangements for Aurora board meetings, such as venue, catering and travel arrangements for Directors.
- Provide ad hoc support for Directors, as required.
Selection Criteria
Experience
- You possess a minimum of 5 years of experience in a personal / executive assistant capacity.
- C-Suite preferred, but not essential.
- Relevant qualifications in business or administration preferred, but not essential.
- Full driver’s license, preferred but not essential.
- Prior experience with board papers and important documentation is a must
Skills
- To take initiative in developing improvement plans as needed, aligned with the organisational strategy, needs, and capabilities.
- Excellent interpersonal skills with the confidence to liaise with stakeholders at all levels.
- Demonstrated abilities in managing complex diaries and travel arrangements, and prioritising issues and tasks.
- Demonstrated capability to apply critical thinking, judgement and discretion to all matters concerning the CEO.
- High level of initiative with the capability to think ahead and anticipate.
- Professional and solutions-focused approach to work with the flexibility to accommodate shifting priorities.
- Strong written communication skills.
- High attention to detail – in particular, proofreading and editing for board papers.
- Proficiency in Microsoft suite.
Other Requirements
- Willingness to obtain a Working with Children Check.
- Satisfactory national police check.

All employees must have a Working with Children Check, police check, and references. Aurora will inform candidates and employees when checks are conducted.
