With operations across Melbourne, Sydney and the Gold Coast, we're continuing to grow and are looking for a Hire Controller / Event Coordinator to join our Melbourne team in Truganina.

This is a key role within our business, connecting our customers with our warehouse, transport and event operations teams.

We're looking for someone who can take ownership of customer requirements, coordinate successful events and build strong client relationships.

You may already have experience in event or equipment hire, or come from an events, catering or hospitality background with strong customer service and coordination skills.

For an experienced candidate who brings strong industry knowledge, commercial capability and client-management experience, there is scope to take on greater responsibility as Caterhire continues to grow.

About the Role

This is a varied, hands-on position combining hire coordination, event planning, customer service, account management and sales support.

You'll manage customer requirements from the initial enquiry and quotation through to equipment planning, delivery, event completion and collection.

You'll work closely with our General Manager, Warehouse and Operations teams to ensure our clients receive the right equipment, at the right place, at the right time.

During our peak event season, the role is fast-paced and operational, with a strong focus on successfully delivering events.

During quieter periods, the focus shifts towards forward planning, strengthening customer relationships, improving hire processes and identifying opportunities to grow the business.

What You'll Be Doing

- Manage customer enquiries, quotations and hire bookings from enquiry through to completion.

- Build and maintain strong relationships with existing Caterhire clients.

- Develop relationships with recent customers and identify opportunities to grow existing accounts.

- Understand client event requirements and recommend appropriate equipment and hire solutions.





- Prepare accurate and commercially appropriate quotations.

- Coordinate equipment requirements with our Warehouse, Transport and Operations teams.

- Monitor forward bookings and equipment availability to ensure customer commitments can be delivered.

- Manage customer-specific pricing, hire periods, delivery requirements and event logistics.

- Prepare clear event documentation and operational instructions.

- Proactively communicate with clients throughout the planning and delivery process.

- Solve last-minute changes, equipment requirements and onsite issues calmly and professionally.

- Attend client meetings, site inspections and major events when required.

- Coordinate significant event requirements during peak periods.

- Source sub-hire equipment and competitive supplier pricing where required.

- Maintain accurate customer, equipment and booking information within our hire management system.

- Identify opportunities to improve our hire processes and customer experience.

- Contribute to customer retention and business growth initiatives.

About You

We're looking for someone with relevant industry experience who is ready to take ownership of customers, bookings and events.

You might currently be working in event hire, equipment hire, event coordination, catering, hospitality or a similar fast-paced service environment.

You'll ideally bring

- Experience in event hire, equipment hire, events, catering, hospitality or a related industry.

- Strong customer service and relationship-building skills.

- Confidence dealing with customers by phone, email and face-to-face.

- Excellent organisation and the ability to manage multiple bookings and deadlines.

- Strong attention to detail, particularly when preparing quotations and event documentation.

- A proactive, practical and solutions-focused approach.





- Commercial awareness and an interest in helping grow customer accounts.

- Confidence using business systems and Microsoft Office.

- The ability to communicate effectively with warehouse, transport and operational teams.

- A willingness to develop detailed knowledge of Caterhire's equipment range.

- The ability to work independently while being a strong team player.

- Flexibility to attend occasional events or work weekends during peak periods.

- Flexibility to travel interstate occasionally when required.

Experience with hire management software is an advantage, but not essential.
