Mountain Creek
3-month contract, full-time hours, possibility for future employment.
About the role
We are seeking a highly organised, capable, and adaptable Household Coordinator & Personal Assistant to support a dynamic household, academic, and professional environment.
This is an initial three-month casual engagement providing a minimum of 38 hours per week, with additional hours likely. We need someone to start as soon as possible, ideally next week.
For these three months, the full-time hours are not particularly negotiable. There is a lot to catch up on. However, there can be some flexibility around when those hours are worked, and genuine commitments outside work will always be considered. Hours will vary across days and weeks because appointments, meetings, events and crises have never once consulted a standard business-hours calendar.
This is a hands-on, varied role combining office administration, household coordination, and person-centred PA support. The work includes everything from detailed organisational projects to organising and/or attending meetings, events and travel, to watering the dog and walking the plants. It's "personal assistant" in both the business, and the disability sense.
This role requires someone who can step into an already established environment and way of working and support it effectively.
Key responsibilities
Google "Bailey Wemyss", to see what kind of work I do, and what you will be helping with...
Administration & coordination/management
- Managing staff including most HR duties (no, not payroll - we'll keep doing that horror ourselves)
- Supporting personal, educational/academic and business-related administration inc.:
- Supporting logistics, planning, and scheduling
- Managing emails, phone calls, bookings, and appointments; liaising with services, organisations, government departments (shudder - there is sometimes hazard pay)
- Taking notes in meetings and other general administrative and personal assistant duties.
- Establishing, maintaining and improving digital filing and organisational systems. Must be able to use Outlook and OneNote (or be a quick learner). Stationery addiction bonus; but not required.
Household coordination
- Decluttering, organising, and maintaining functional spaces. Who are we kidding? That would be ALL spaces. Including off-site storage. Heavy lifting and packing will be involved. As will be maintaining inventory. Yes, I have THAT many textbooks. I'm a nerd shrug.
- Assisting with general household tasks where required. Includes duties relating to the two puppies, the small bird, the yet-to-be-established garden, in addition to directing other staff to do those duties you don't particularly like... You may need to feed the pets, or do some cleaning, however one of your first jobs may be to hire a cleaner!
- Gardening (optional - feel free to hire someone else on your behalf - we'll even pay for it! Or you might want to set a day a week aside and completely transform our landscape).
- Dealing with spiders (not optional).
Personal Assistant support
- Very little actual disability support, however you do need to learn what to do if disability creates a medical issue. Full training is provided.
- Attending meetings, appointments, and events with head of household. Also - organising same.
- Requires driving HoH to those meetings and appointments and getting their wheelchair in and out of your car. It breaks down into pieces, don't worry.
- Organising (often interstate) travel. If you're prepared to throw down with other staff, may be able to accompany head of house on travel engagements (generally from 2 nights to 2 weeks; 1-4 interstate trips & 6 /- local trips a year). and we do staff trips regularly.
About you & what this role actually is
This role suits someone who can bring structure to complexity without needing to control it (there is no controlling it - trust me, we've tried!).
You'll likely do well here if you are:
- Highly organised, able to manage multiple priorities, and still adapt when plans change
- Proactive and able to take initiative, while respecting direction and existing systems
- Practical, solution-focused, and reliable
- Honest, and thoughtful enough not to make assumptions
- Able to be professional without being overly clinical or rigid. (Household members do not need "saving")
- Respectful, inclusive, and comfortable around diverse identities and lived experiences (see below).
- Comfortable working in a real, lived-in home environment, where not everything is polished. This is our home first, and your workplace second. Household members do not, and will not, "mask" in their own home.
Working environment - The reality
This is primarily a chaotic private home environment, in addition to a small business setting, university, office, and the odd unplanned road trip...
The household of six includes lived experience of physical disability, neurodivergence, mental illness (all types), and diverse identities, including but not limited to -> Aboriginal, LGBTIQA , Wiccan, sweary, goth-lite, nerdy, bad/dark sense of humour.
This role is to take direction while working within established systems; but also taking a leadership role in coordinating other staff. Confused? You'll get used to it ;-) You will be working in someone else's home, at their direction. Their precise direction. No matter how weird it might seem to you. And it will seem weird. Regularly.
You will be stepping into a complex (not even kidding) environment and adding structure (literally begging!!!); solving problems, figuring things out,
and generally helping facilitate household members complexity so they can live their best lives
This is not a role that will be reshaped around you; rather you will be stepping into something that already exists and helping it function better. Or at least ensuring it functions in the first place. No one is asking for miracles!
If you need something predictable, highly structured, tailored to your preferences, OR if you are easily offended; this job is unlikely to be the right fit for you.
What makes this role different
- Your work will have immediate, visible impact — you will see the difference you make
- No two days are the same (sometimes that's exciting, sometimes it's chaos, usually it's both)
- You'll be trusted to take initiative and solve real problems
- You'll be part of a household that values inclusion, honesty, and real-world functioning
A sense of humour helps. If you can't join in the dark humour, at least bring a solid eye roll.
What you get
- A role where your work genuinely matters day-to-day, and autonomy and trust in how you approach your work
- Variety and problem-solving instead of repetitive tasks, and the chance to build systems that actually get used
- A workplace that is inclusive in practice and respectful of staff. There may be shouting at times (not to or about staff), and all the swear words being used often, however there is a culture of respect = no name calling or threatening or being otherwise personally offensive toward staff.
- Above award remuneration (regardless of experience/degree), plus above award superannuation.
- Some flexibility for hours worked. And a culture that family comes first - including YOURS. You are also allowed to leave early if it's going to rain on your washing and especially if hail is coming (no joke).
Practical requirements
- Interstate travel and overnight stays will occur as needed based on business requirements and client schedule demands.
- Current driver's licence
- Own reliable vehicle with comprehensive insurance and air-conditioning
- Multiple background checks are required for this position due to the private home environment and nature of the role.
- Physical capacity for tasks such as lifting, packing, and organising (medical certification may be required for WHS)
- Valid work visa or Australian work authorisation is acceptable for this position.
How to apply
Please include a short cover letter addressing:
- Your experience with organisation and coordination and working well under pressure
- Your availability for flexible schedule and travel
- Why this type of role suits you - why do you want to work HERE specifically?
Generic applications that could have been submitted for any administration or PA position are unlikely to progress. We want to know why this particular combination of administration, academia, fae, household chaos, disability, dragons, social justice, travel and government-department-induced suffering appeals to you.
