Role Summary The HR & Administration Specialist provides day‑to‑day support across human resources and general office administration, ensuring accurate employee records, compliant HR processes and smooth operational support to the wider business.
Location: St Kilda Road
Key responsibilities – HR
- Maintain and update employee records, personnel files and HRIS databases (e.g. contracts, letters, leave, performance records) in line with company policies and legal requirements.
- Assist with end‑to‑end recruitment activities including posting job ads, screening applications, scheduling interviews and preparing employment contracts and onboarding documents.
- Coordinate new hire onboarding and induction programs, including documentation, system access, office/IT setup and orientation sessions.
- Help implement and communicate HR policies and procedures, updating guidelines and FAQs and ensuring employees are informed of changes.
- Respond to routine HR inquiries from employees regarding policies, benefits, leave and HR processes, escalating complex matters as required.
- Prepare standard HR documents and letters (e.g. employment confirmations, changes to terms, warnings) in line with templates and guidance.
- Assist with coordination of training sessions,
performance review cycles and employee engagement activities as directed by HR leadership.
- Support compliance activities such as maintaining work rights documentation, assisting with audits and ensuring records meet legislative and company requirements.
Key responsibilities – Administration
- Provide general office administration support including stationery and office supplies management.
- Coordinate office maintenance, contractors and service providers to ensure a safe, clean and functional work workplace.
- Organize logistics for meetings and events (room bookings, catering, equipment, attendee coordination) as required.
- Maintain organized filing systems (electronic and hard copy) for administrative and procurement records, including purchase orders and vendor documentation.
- Support travel and accommodation bookings for employees and visitors, ensuring adherence to company policies.
- Assist with monitoring office operating costs and invoices, working with finance to ensure accurate records and timely payments.
Skills, experience and qualifications
- 1-3 years’ experience in HR administration, office administration or similar role (experience range can be adapted to level).
- Working knowledge of HR processes and employment documentation; familiarity with HRIS and MS Office (Word, Excel, Outlook) is essential.
- Strong attention to detail, accuracy in data entry and record keeping, with the ability to handle confidential information discreetly.
- Good organizational and time management skills, with the ability to manage multiple tasks and meet deadlines in a fast‑paced environment.
- Effective written and verbal communication skills and a customer‑service mindset when dealing with employees and stakeholders.
- Strong learning ability to hit the ground running quickly.
