About Reach Collective

Reach Collective is a growing Sydney-based allied health and disability services business establishing practical, secure digital systems to support day-to-day service delivery. We are implementing core business technology including practice management, client onboarding, electronic service agreements, online payments, secure communications, document management, reporting and systems to support NDIS registration and audit readiness.

We are seeking a hands-on ICT Project Manager to coordinate and deliver this implementation program. The role is suited to an experienced project professional who is comfortable working in a small-business environment, managing several practical technology projects at once and working closely with external software providers, developers and the business owner.

THE OPPORTUNITY

This is a practical ICT project-delivery role focused on implementing and improving business systems. You will gather requirements, prepare project plans, coordinate vendors, manage timelines and risks, support testing and training, and help move new systems into reliable day-to-day use.

The position is not an enterprise-level technology executive role and does not require responsibility for large corporate ICT budgets or a large internal technology team. It is a hands-on role in a developing business, with a defined program of digital systems, website and future app implementation work.

What You Will Lead

WHAT YOU WILL LEAD

Core business systems: Coordinate implementation of Microsoft 365, secure business email, document storage, access permissions, backups and practical cybersecurity controls appropriate to a small health and disability services business.

Practice-management implementation: Coordinate setup and optimisation of Zanda (or comparable practice-management software), including client records, appointments, forms, invoicing, reporting, permissions and workflow configuration.

E-signatures and service agreements: Implement electronic service-agreement, consent and form workflows, including templates, e-signatures, document storage, version control and basic audit trails.

Payments and invoicing: Coordinate implementation of Stripe or comparable online-payment tools, invoice and receipt workflows, and practical connections between the website, practice-management and finance processes.

NDIS systems and audit readiness: Work with the business owner and compliance advisers to organise digital records, registers, controlled documents and evidence required to support NDIS registration and audit readiness. The role supports systems implementation rather than acting as the business's NDIS compliance officer.

Digital mental-health platform: Coordinate discovery and early-stage implementation of a web/app-based mental-health resource platform, including requirements, vendor/developer coordination, project scheduling, testing, secure hosting considerations, analytics and preparation for an initial MVP or staged launch.

Website and online service experience:



Coordinate design and delivery of the Reach Collective website, online enquiries/referrals, forms and basic integrations with business systems.

Digital marketing systems: Support the setup of analytics, social-media business accounts, tracking, CRM/lead workflows and technology used to support Instagram, TikTok, Snapchat and other digital channels. The role is not primarily a social-media content position.

Automation and process improvement: Identify straightforward opportunities to reduce repetitive administration through digital forms, reminders, workflow automation, integrations and improved data capture.

Project delivery and vendors: Maintain practical project plans, schedules, action registers, budgets, risks, issues and vendor communications; coordinate user acceptance testing, implementation, training and handover into business-as-usual operations.

Current-state review, requirements register, implementation plan, project schedule, priority vendor decisions and practical governance tools.

3–6 months

Microsoft 365/business email, Zanda setup, digital forms and e-signatures, Stripe/payment workflows, website implementation and foundational privacy/cyber controls.

6–12 months

Workflow improvements, reporting, selected integrations, NDIS digital evidence organisation, staff/user documentation, training and system handover.

12–18 months

Mental-health digital platform discovery and staged MVP delivery, including requirements, vendor/developer coordination, testing, secure implementation and analytics.

ABOUT YOU

At least 3 years of relevant experience delivering ICT, business-systems, digital implementation or technology-enabled change projects.

Demonstrated project-management capability across scope, schedules, budgets, risks, issues, dependencies, testing and implementation.

Practical experience with SaaS/cloud business systems, vendor-managed technology solutions and system configuration or implementation.

Ability to gather business requirements and translate them into explicit implementation tasks for software providers, developers or other technical suppliers.

Experience coordinating external vendors, quotations, procurement, contracts or service providers.

Strong communication and stakeholder skills, with the ability to work directly with a business owner, non-technical users and external technical specialists.

Experience supporting testing, user training, implementation, documentation and transition to day-to-day operations.

Practical understanding of privacy, cybersecurity, access controls and responsible handling of sensitive information.

Comfort working in a small,



growing business where priorities may evolve and the Project Manager is expected to be organised, pragmatic and hands-on.

HIGHLY REGARDED

PRINCE2, PMP, Agile/Scrum, ITIL or comparable project/service-management certification.

Experience in healthcare, allied health, disability services, community services, government or another regulated service environment.

Exposure to NDIS provider systems, audit-readiness activities or controlled-document/evidence frameworks.

Experience with Zanda or another practice-management or client-management platform.

Experience implementing Stripe or comparable payment tools, e-signature platforms, Microsoft 365, websites or CRM systems.

Experience coordinating websites, portals, apps, online support tools or other customer-facing digital projects.

Familiarity with website analytics and the technology used to support social-media and digital marketing activit

REACH COLLECTIVE SYDNEY, NSW A clear and workable digital systems implementation plan is in place and actively managed.

Client onboarding, service agreements, payments, communications and records are increasingly secure and digital.

Zanda and other core systems are configured for practical day-to-day business use, with unnecessary duplication reduced where possible.

Digital records, registers and controlled documents are organised to support NDIS registration and audit-readiness activities.

Basic cybersecurity, privacy, access and information-management controls are documented and implemented with appropriate specialist input where required.

The Reach Collective website, online enquiries/referrals and relevant digital workflows are operating reliably. The mental-health digital platform has progressed through defined discovery, requirements, vendor/developer coordination and MVP planning or implementation milestones.
