The Opportunity
Banton Group is seeking a highly organised, proactive and capable Legal Administration professional to join our Sydney office.
Banton Group is a leading Australian legal practice specialising in complex litigation, class actions, dispute resolution, restructuring and insolvency. We act on significant and high-profile matters in the High Court of Australia, Federal Court of Australia and Supreme Courts across Australia, and are recognised for the quality of our work and commitment to delivering excellent outcomes for our clients.
This is a varied and hands-on role providing administrative and practice support to our Managing Director, Partners, senior lawyers and wider legal team.
We are looking for someone who takes genuine ownership of their role. You will be expected to anticipate what needs to be done, manage competing priorities and provide reliable support in a busy and fast-moving litigation practice.
The successful candidate will become an integral part of the Banton Group team and play an important role in ensuring our lawyers, matters and day-to-day practice operate efficiently.
What You'll Do
Working closely with our Partners, lawyers and broader team, your responsibilities will include:
- Providing high-level administrative and practice support to the Managing Director, Partners, senior lawyers and other fee earners.
- Proactive diary and calendar management, including coordinating meetings, calls, court commitments and other appointments.
- Monitoring deadlines, court dates, hearings, meetings and other key commitments and ensuring these are accurately diarised.
- Managing incoming communications and assisting with correspondence as required.
- Liaising professionally with clients, barristers, courts, experts, suppliers and other external stakeholders.
- Coordinating domestic and interstate travel, including flights, accommodation and other travel arrangements.
- Assisting with matter administration, including opening new matters, conflict checks and preparation of retainers.
- Filing documents electronically in the High Court of Australia, Federal Court of Australia, Supreme Court of NSW, Supreme Court of Victoria and other courts and tribunals as required.
- Requesting and managing court transcripts, orders and other court-related materials.
- Assisting with filing fees, transcript fees, disbursements and other matter-related payments.
- Preparing, formatting, amending, proofreading, printing, scanning,
binding and compiling legal documents and correspondence.
- Assisting with the preparation and collation of briefs to counsel, court books, tender bundles, exhibits, annexures, authorities and other hearing or trial materials.
- Managing electronic and physical matter files and ensuring documents are accurately saved and maintained within the firm's document management systems.
- Coordinating large printing, copying and document production requirements with external providers.
- Conducting ASIC and other company or public record searches as required.
- Providing support to the Managing Director and Partners with the timely preparation and completion of time entries, as required.
- Assisting with month-end billing processes, including obtaining third-party invoices and supporting lawyers to review and finalise bills within required deadlines.
- Assisting with WIP, billing and other matter reporting.
- Processing and recording matter-related expenses and disbursements.
- Arranging couriers and coordinating the delivery and collection of documents, including deliveries to courts and barristers' chambers.
- Assisting with the coordination of subpoenas and other litigation-related administrative requirements.
- Supporting the legal team during trials, hearings, mediations and other significant matter-related events.
- Assisting with client meetings, internal meetings and firm events as required.
- Working collaboratively with other members of the administration and support team to ensure the smooth day-to-day operation of the practice.
- Identifying opportunities to improve administrative processes and embracing technology and new ways of working to improve efficiency.
- Providing other legal and general administrative support as required.
What You'll Bring The ideal candidate will be organised, adaptable and resilient, with a proactive approach and the confidence to take ownership of their responsibilities.
You will ideally have
- A minimum of 3–5 years' experience in legal administration, legal support or a similar role within a law firm.
- Experience within litigation or dispute resolution will be highly regarded.
- Excellent administrative and organisational skills.
- Strong attention to detail and a commitment to producing work to a high standard.
- The ability to manage multiple competing priorities and time-sensitive tasks in a fast-paced environment.
- A proactive approach, with the ability to anticipate the needs of lawyers and independently identify what needs to be done.
- Excellent written and verbal communication skills.
- A professional and confident manner when dealing with clients and external stakeholders.
- The ability to remain calm and composed when priorities change or urgent work arises.
- Strong judgement and discretion when dealing with confidential and sensitive information.
- A cooperative approach and willingness to assist across the wider team when required.
- A positive, practical and solutions-focused attitude.
- Strong Microsoft Office skills, particularly Outlook, Word and Excel.
- Experience with legal practice management and document management systems will be highly regarded.
- Experience with Actionstep, NetDocuments or similar legal technology will be advantageous.
