Primary objective To provide an efficient and effective medical records management service that meets the needs of patients, staff and management within Top End Health Service.

Key duties and responsibilities

Supervise and mentor a small team.



Assist in the day to day management of the Medical Records team in Palmerston Regional

Hospital (PRH). Oversee the induction and training of recent staff. Maintain a quality service by preparing, assembling, locating,

retrieving and filing medical records for all internal and external users in accordance with standard operating procedures. Ensure accurate and efficient maintenance of TEHS’ medical records systems and databases. Provide assistance and advice to patients,

staff and external clients on release of information processes under the Information Act. Provide and effective records archiving service consistent with policies, procedures and relevant legislation. Provide backup and backfill for all tasks within the department as requested.

Assist in the training of other staff members. Follow defined service quality standards, work health and safety policies and procedures relating to the work being undertaken in order to ensure high quality, safe services and workplaces

Selection criteria

Essential

1. Demonstrated practical experience in administrative and organisational skills or the ability to acquire such knowledge in records

management.
1. Ability to Supervisor and mentor a small team to meet identified objectives and able to motivate staff while displaying patience

and maintaining a collaborative approach within the team.

Proven ability to handle and prioritise multiple tasks simultaneously, meet deadlines and flexibility to operate in an environment

where demands may change.
- Demonstrated effective high level of oral and written communications skills to enable communication with staff, clients and external users of the medical records service.
- Proven ability in use of Excel, Microsoft applications, CaresysNT, Clinical Workstation (CWS) or similar systems.
- Demonstrated knowledge and understanding of the Information Act, patient confidentiality and entitlement to information.
- Demonstrated proficiency in interpreting medical terminology,or the ability to grasp new concepts quickly and efficiently.
- Ability to interact effectively with people from diversecultures and levels within the organisation.

Desirable

1. Experience in the operation of patient management system (Acacia,CARESYS and Clinical Work Station)
2. Knowledge of the organisational structure and functions of the Top End Hospital Service and Royal Darwin Hospital.
3. Hold a current (C) Class Licence and have the ability to travel between RDH and PRH Campus’.
