Primary objective

Provide high-level efficient and effective medical records management and delivery service to clinical areas, ensuring day to day administrative tasks are completed while providing a service on a 24-hour rotational shift basis.

Context statement

Applicants must be prepared to: work a full-time rotating 24/7 shift work roster; on weekends, public holidays; work independently; make decisions based on proven protocols in diverse situations; and use sound judgement to find solutions to issues as and when they arise.

Key duties and responsibilities

1.



Maintain a quality service to prepare and maintain patient’s medical record in line with the established sequence according to Medical

Records standard (AS2828)
- Retrieve and deliver medical records to all front-line staff accordance to the service delivery agreement and operational standards.

1. Ensure all medical records movement, the data is entered and medical records filled in Terminal Digit Order (TDO).
2. Operate multiple computer systems, ensuring accuracy of sensitive information related to patient activities.
3. Aid and advice to patients, staff and external clients on release of information processes under the Freedom of Information Act.
4. Provide an effective records archiving service consistent with policies, procedures and relevant legislation.
5. Provide backup and backfill for all tasks within the department as requested.
6. Assist in the training new staff of other staff members.
7. Follow defined service quality standards, Workplace Health and Safety (WHS) policies and procedures relating to the work being

undertaken to ensure high quality, safe services and workplaces.

Selection criteria

Essential

1. Demonstrate ability to undertake shift work on a 24 hour, 7 days a week on a rotating roster which includes weekends and public

holidays.
- Previous experience creating and managing records in compliance with relevant principles, standards and procedures.
- Demonstrated initiative and organisational skills of a high order,



including the ability to work with competing priorities, manage highly sensitive issues, working under pressure independently and manage a variety of tasks in a busy and changing work environment.
- Demonstrated ability to provide excellent service through effective and appropriate communication with clients and staff at all levels,

including health professionals and members of the public.
1. Proven computer skills within a Windows base setting using programs such as Excel, Word, CaresysNT, Acacia, Clinical

Workstation or similar programs.
1. Demonstrated proficiency in interpreting medical terminology, or the ability to grasp new concepts quickly and efficiently.
2. Excellent interpersonal communication and coordination skills with the ability to interact effectively with people from diverse cultures.
3. Understanding of privacy principles, proven ability to maintain strict confidentiality and the ability to interact effectively with people

from diverse cultures, particularly in dealing in sensitive matters.
- The ability to work across all campuses Royal Darwin Hospital (RDH) and Palmerston Regional Hospital (PRH).

Desirable

1. Experience in the operation of record management systems.
2. Experience in a service delivery work environment.
