About the role

Maters is seeking an experienced Outsourcing Coordinator to join the Planned Care team in this full time, 10-month maximum term opportunity working 76 hours per fortnight.

The Outsourcing Coordinator plays a vital role in delivering exceptional patient-centred services by managing patient outsourcing, referral and waitlist updates, and planned care pathways. Working closely with the Planned Care Leadership Team, this role ensures patients are connected with appropriate care providers promptly, supporting the daily operational needs of the service.

Responsible for the end-to-end administration of outsourcing processes, the Outsourcing Coordinator oversees waitlist management, data integrity, healthcare provider engagement, and stakeholder communication. By effectively managing administrative tasks and resources, the role enhances patient access, timely treatment, efficient patient flow, and supports organisational performance and growth within Planned Care services.

Salary range: $42.05 - $46.33 per hour plus superannuation and access to not-for-profit salary packaging up to $15,900 + access to many staff benefits!

What you’ll be doing The purpose of this position is to provide exceptional administrative support to ensure timely patient access to care by coordinating patient outsourcing pathways, referrals, waitlists, and planned care services. The role supports patients, clinicians, external providers, and stakeholders through effective administration, communication, and coordination.

- Coordinate and administer patient outsourcing pathways to ensure timely access to appropriate healthcare providers based on clinical priorities.
- Maintain accurate patient records and uphold high data integrity across all patient administration systems.
- Support waitlist management by keeping patient information current and aligned with clinical and service requirements.
- Liaise with clinicians, external providers, and stakeholders to facilitate seamless patient care and timely service access.
- Monitor outsourced patient activity to track treatment milestones and escalate delays or barriers as needed.




- Manage patient tracking systems and waiting lists to support equitable access and ensure data accuracy.
- Respond professionally and efficiently to clinician and stakeholder enquiries with a patient-centred approach.
- Assist in resolving administrative, scheduling, and patient pathway issues impacting service delivery or outcomes.
- Support clinic and service utilisation through effective appointment coordination and resource allocation.
- Contribute to continuous improvement initiatives aimed at enhancing patient experience, service efficiency, and compliance with organisational policies.

About you You have previous administration experience in healthcare settings such as hospitals, outpatient services, or planned care, with proven skills in managing referrals, waitlists, patient outsourcing, and appointment scheduling across multiple healthcare services.

To succeed in this role you will have:

- Excellent written, verbal, and interpersonal communication skills
- Strong computer proficiency, especially with Microsoft Office and patient administration systems
- Ability to work independently while knowing when to seek guidance or escalate issues
- Effective management of competing priorities and deadlines in a fast-paced environment
- Strong organisational and coordination skills to handle high-volume administrative workloads
- Adaptable and composed with a positive attitude during periods of change
- Collaborative team player demonstrating initiative, sound judgment, and active listening
- Strong problem-solving skills to identify issues and implement effective solutions
- High attention to detail with a commitment to data accuracy and quality
- Well-developed stakeholder engagement skills and a patient-centred approach to service delivery
