Personal Assistant (PA) to the Business Owner

About the Role
We are looking for a commercially minded, highly proactive and execution-focused Personal Assistant who is an excellent communicator and knows how to move things forward.
This role involves more than diary management and administrative support. A key part of the position is assisting the principal with business follow-ups, maintaining professional relationships, progressing potential opportunities and coordinating business events.
The successful candidate will be able to understand the principal’s intentions, turn verbal discussions and fragmented information into clear action plans, and follow through consistently until a result is achieved.
Key Responsibilities
- Business Follow-Up and Execution
- Assist the principal in following up with clients, business partners and prospective opportunities
- Record, organise and continuously follow up on action items arising from meetings, phone calls and business discussions
- Proactively drive progress and provide timely reminders regarding key milestones, deadlines and unresolved matters
- Coordinate with internal teams and external stakeholders to ensure matters are executed rather than remaining at the discussion stage
- Actively follow up on matters that have stalled and promptly update the principal on issues, risks and recommended next steps
- Organise important business information and provide the principal with concise, clear progress updates
- Business Relationship Management
- Assist the principal in maintaining relationships with clients, business partners and other key contacts
- Proactively arrange coffee meetings, lunches, dinners and other business engagements as required
- Establish and maintain contact records and relationship follow-up notes
- Identify valuable connections,
potential collaborations and suitable introduction opportunities
- Provide timely reminders and assist the principal with appropriate relationship touchpoints
- Event Planning and Execution
- Lead or assist with the organisation of client events, business dinners, networking events and company functions
- Coordinate venues, catering, guest lists, invitations, confirmations and on-site arrangements
- Manage RSVPs and ensure that key clients and guests are appropriately looked after
- Complete post-event follow-ups, including thank-you messages, further meetings and potential business opportunities
- Help turn each event into meaningful relationship-building and business development opportunities
- Executive and PA Support
- Manage the principal’s diary and prioritise meetings and events based on business importance
- Coordinate meetings, travel and other business arrangements
- Assist with emails, messages and day-to-day communications
- Prepare relevant background materials and key contact information ahead of meetings
- Maintain a high level of discretion and confidentiality when handling sensitive personal and commercial information

- Exceptional follow-up skills, with the ability to continuously progress matters through to a clear outcome
- Robust commercial awareness and the ability to understand the business context behind each task
- Excellent communication and interpersonal skills, with the confidence to engage naturally and professionally with clients,
senior executives and people from different backgrounds
- A highly proactive working style, without requiring step-by-step direction from the principal
- A strong eye for opportunity, with the ability to identify potential business value through meetings, events, professional networks and day-to-day interactions
- Strong organisational skills and the ability to manage multiple projects, events and follow-ups simultaneously
- A detail-oriented, dependable and accountable approach, with a strong sense of ownership and the initiative to find solutions when challenges arise
- Excellent written and verbal communication skills in both English and Chinese
- Previous experience in Executive Assistance, Business Development, Client Relations, Events, Professional Services or a similar field will be highly regarded
