About the Role
We are seeking an experienced, highly organised and proactive Personal Assistant to the Managing Director to provide comprehensive support across a broad range of business and personal matters.
This is a wide-ranging and hands-on role suited to someone who enjoys being the person who keeps things organised, follows matters through to completion and makes life easier for the person they support.
You will work closely with the Managing Director and become a trusted point of contact, managing competing priorities, coordinating appointments and commitments, handling correspondence and assisting with both day-to-day business requirements and personal affairs.
Key Responsibilities
Your responsibilities will include, but are not limited to:
- Managing the MD's diary, appointments and schedule
- Coordinating meetings, travel, accommodation and events
- Preparing correspondence, documents, reports and presentations
- Managing emails and assisting with follow-up and prioritisation
- Coordinating business activities and liaising with staff, clients, suppliers and external advisers
- Assisting with personal appointments, bookings, errands and household-related matters
- Organising personal and business commitments to ensure deadlines are met
- Conducting research and providing information to assist with decision-making
- Managing confidential and sensitive information with complete discretion
- Following up outstanding matters and ensuring tasks are completed
- Assisting with ad hoc projects and other tasks as required
- Anticipating the General Manager's needs and proactively addressing issues before they become problems
About You
We are looking for someone who is:
- Highly organised and exceptionally good at managing competing priorities
- Energetic, proactive, resourceful and able to work with minimal supervision
- Discreet and trustworthy, with a high level of integrity
- An excellent communicator, both written and verbal
- Calm under pressure and able to adapt to changing priorities
- Practical and solutions-focused
- Comfortable handling both business and personal matters
- Digitally savvy and confident using Microsoft Office and other business systems
- Willing to take ownership and see tasks through from start to finish
Experience
Previous experience as a Personal Assistant, Executive Assistant, Executive Coordinator, Office Manager or similar role will be highly regarded.
Experience supporting a senior executive, business owner or Managing Director would be advantageous.
More important than a particular qualification is your ability to demonstrate judgement, discretion, initiative and reliability.
The Ideal Candidate The successful candidate will be someone who naturally thinks "what needs to happen next?" rather than waiting to be told.
You will be comfortable juggling business priorities with personal requests, protecting confidential information and dealing with whatever comes across your desk. You will have excellent judgement, strong attention to detail and the confidence to take initiative.
