Project Operations Manager - Waste
About the Opportunity The Project Operations Manager - Waste is a role within the Managed Services (Wasteflex) division of Waste Services Group (WSG). The Project Operations Manager - Waste is accountable for leading the end-to-end transition of new and expanding customers into Wasteflex's managed services operating model, from contract handover through to stable live operations, accurate billing and formal handover to Account Management.
The role is responsible for ensuring that customer scope, site data, service requirements, subcontractor arrangements, system configuration, billing setup and reporting requirements are validated and implemented accurately before and during go-live. The role protects revenue and margin by ensuring that contracted services are activated efficiently, supplier costs are aligned to customer pricing, billing rules are correctly established and first invoices are accurate.
The role is also accountable for the customer experience during transition, including proactive communication, expectation setting, issue resolution, escalation management and post-go-live stabilisation. Success is measured by on-time activation, data accuracy, first-invoice accuracy, supplier readiness, service stability, customer satisfaction and reduction in early transition-related churn risk.
This role will proactively partner with new and existing customers, external and internal service providers (subcontractors & suppliers), and internal stakeholders (Sales, Operational and Administration teams). The role will also manage sub-contractors nationally delivering commercial outcomes and operational performance during the transition period.
The role will also drive continuous improvement across transition processes by:
- improving collaboration between internal business functions;
- identifying opportunities to increase efficiency; and
- supporting the effective use of technology and business systems where appropriate.
This role is based in Melbourne.
Key Responsibilities
- Coordinate project administration and prepare project plans, schedules, implementation plans and timeframes, communications, and identification of key responsibilities and milestones.
- Build and maintain strong relationships with subcontractors and suppliers.
- Ensure clear written and verbal communication and collaboration with internal and external stakeholders.
- Liaise with customers regarding mobilisation and site-specific requirements.
- Take line management responsibility for all transition activities.
- Partner with Pricing and Commercial to validate transition assumptions, supplier cost alignment, exclusions, pass-throughs and margin integrity before go-live.
- Reporting on the progress of transition for the management and tracking to contract value.
The role owns the transition lifecycle across six phases: Discovery, Planning, Execution, Go-Live, Stabilisation and Handover.
Key responsibilities include
- Own the customer transition lifecycle from signed contract / BD handover through to reliable operations and Account Management handover.
- Validate contract scope, site lists, waste streams, service frequencies, bin types, access requirements, special conditions, billing rules and reporting requirements before setup.
- Confirm supplier allocation, rates, service windows, compliance requirements and operational readiness before go-live.
- Ensure customer pricing, supplier pricing and billing setup are aligned to protect contract margin and avoid revenue leakage.
- Coordinate CRM, WasteEdge, billing, reporting and dashboard setup so that customer/site/service data is accurate and complete.
- Lead billing setup for new customers, including invoice structure, PO requirements, finance reports, ABN structure, delivery/removal fees, excess weight rules and first bill-run readiness.
- Establish a transition communication plan covering customers, site contacts, suppliers, Customer Service, Billing, Account Management, Sourcing and Operations.
- Own go-live readiness checks, including bin delivery/removal, contractor attendance, site access, service frequency, customer contact points and escalation paths.
- Monitor first services and early performance to identify missed services, mis-routes, billing issues, data errors, customer confusion or supplier underperformance.
- Conduct first invoice quality checks and coordinate correction of issues before they become customer disputes.
- Complete a 30-day post-go-live review and formal handover to Account Management, including open risks, customer preferences, service profile, reporting cadence and lessons learned.
- Maintain transition dashboards and report on transition progress, revenue activation, issue resolution, customer readiness and risk.
- Drive continuous improvement of transition templates, SOPs, customer communications, dashboards and systems.

You will also bring
- Experience in the Waste industry (desirable)
- Previous experience in the management or coordination of subcontractors/suppliers
- Experience in customer management with respect to account set up, billing and site visits
- Previous Procurement experience (Services or FM) desirable
- Tertiary qualifications in a related discipline (desirable)
- Experience in similar roles (where project planning was essential to the success of the organisation)
- Robust Microsoft office skills (MS Excel), Power BI, Project Management
