Our client is looking for an experienced Office Manager to become the central point of coordination for their operations, someone who takes real ownership of the day-to-day and makes sure nothing falls through the cracks.
This is a fantastic prospect for a proactive administration professional to step into a varied, people-facing role at the heart of the business, working closely with the Director, management team and operational staff.
The Role
As Office Manager, you'll be the glue that holds the office together. No two days will look the same, one minute you're managing client and employee administration, the next you're coordinating compliance documentation or supporting the accounts team. You'll be trusted to take routine administrative matters and run with them, from start to finish.
Key areas of responsibility include:
- Office Administration – Managing daily office operations, correspondence, records and general office requirements
- Client & Service Administration – Client and site setup, service updates, work orders and routine client communication
- Accounts Support – Assisting with invoicing, purchase orders, debtor follow-up and account queries
- Quotes & Proposals – Preparing and tracking quotations, documentation and client acceptance admin
- Employee Administration – Onboarding, employee records, licences and HR documentation
- Compliance Administration – Maintaining compliance records, insurances, SWMS and client portals
- Fleet & Asset Administration – Tracking vehicle registrations, servicing and inspection schedules
- Management & Operational Support – Supporting the Director and management team with reports, meetings and administrative follow-up
- Systems & Data Administration – Keeping company systems (Microsoft 365, SharePoint, accounting and operational platforms) accurate and up to date
What We're Looking For
- Previous experience in office management, administration, or a senior administrative role
- Excellent organisational, time-management and multitasking skills
- Sharp attention to detail and strong follow-through
- Confident communicator, comfortable liaising with clients, suppliers and employees at all levels
- Strong Microsoft Office / Microsoft 365 skills
- Experience with accounting software (MYOB) and invoicing processes
- A practical, proactive, can-do attitude
- Discretion and professionalism when handling confidential information
- Experience in landscaping, horticulture, facilities management, trades or another service-based industry would be highly regarded but is not essential.
