Real Estate Sales Administrator / Executive Assistant

Absolute Real Estate is looking for an exceptional Real Estate Sales Administrator / Executive Assistant to work closely with our Sales Manager, Maria Kathopoulis.
This is much more than a data-entry or paperwork role. We are looking for someone who is organised, proactive, positive and calm under pressure—someone who naturally thinks ahead and takes pride in making sure nothing falls through the cracks.
You will play an important role in keeping Maria organised, supporting our clients and coordinating the many moving parts involved in taking a property from listing through to a successful settlement.

About the Role
This is a wide-ranging and fast-paced position that combines real estate sales administration, property marketing, client communication, and executive support.
You will become a trusted and valued member of our sales team, responsible for keeping Maria’s day organised, ensuring the sales process continues moving and helping us provide an exceptional experience to our vendors, purchasers, tenants and clients.
Priorities can change quickly in real estate, so you will need to be flexible, resourceful and able to manage competing demands without losing sight of the details.
Sales Administration and Executive Support
Your responsibilities will include:
- Managing Maria’s calendar, appointments, priorities and daily workflow.
- Responding professionally to telephone, email, online and walk-in enquiries.
- Maintaining accurate property, vendor and purchaser information within our sales systems.
- Keeping property availability, listings and online information accurate and current.
- Preparing listing, contract, sales and marketing documentation.
- Ensuring sales files are complete, accurate and compliant with company procedures.
- Monitoring contracts and significant dates throughout the sales process.
- Assisting with settlement administration when advised by conveyancers.
- Arranging access for appraisals, inspections and professional photography.
- Coordinating access with vendors and tenants, including sending reminders and organising keys and remotes.
- Scheduling weekly Open Homes and coordinating the associated advertising and calendar commitments.
- Ensuring Vendor Paid Advertising is receipted prior to marketing
- Providing reception and general administrative support when required.
- Anticipating what Maria and the sales team will need and having it organised and ready.
Property Marketing and Social Media
An important part of the position will be assisting with property marketing and our digital presence.
You do not need to be a professional graphic designer or marketing expert, but you should have a good eye for presentation and be willing to develop your skills.
Your responsibilities will include:
- Creating property brochures, social media tiles and other marketing material using Canva.
- Preparing and publishing property and business content on Facebook.
- Saving, organising and preparing property photography for marketing.
- Selecting and arranging photographs to ensure each property is presented at its best.
- Uploading property photographs and marketing content to our website and online property platforms.
- Coordinating online, social media, newspaper and other advertising as required.
- Maintaining consistent branding, spelling, formatting and presentation across our marketing.
About You
Previous experience in property sales administration or the real estate industry would be highly regarded, but it is not essential.
You may have:
- At least two years’ experience in real estate or property sales administration; or
- A strong administration background, excellent work ethic and a genuine willingness to learn the industry.
We can teach our systems and processes. What matters most to us is your attitude, initiative and desire to do an exceptional job.
We don’t expect you to know the answer to everything on day one. However, when given an outcome, you should be willing to research what is needed, work through the details and carry the task through to completion without requiring step-by-step direction.
You will be someone who:
- Is exceptionally organised and has outstanding attention to detail.
- Can manage and prioritise several tasks without becoming overwhelmed.
- Is proactive, resourceful and comfortable taking ownership.
- Communicates warmly, clearly and professionally.
- Has an excellent telephone manner and a genuine customer-service focus.
- Remains calm and positive when priorities change.
- Is flexible and willing to help wherever needed.
- Follows tasks through to completion.
- Enjoys being part of a close team and contributing to the success of the business.
- Takes pride in doing things properly—not simply getting them done.
Digital and Marketing Confidence
You do not need to be a marketing expert or professional graphic designer. These skills can be taught or self-learnt, but you should be comfortable using digital tools and genuinely willing to develop your knowledge.
Ideally, you will have:
- Some experience using Canva or a similar design platform.
- Confidence using Facebook and creating business-related content.
- A good eye for clean, professional presentation.
- Strong spelling, grammar and attention to detail.
- The ability to learn unfamiliar systems and find solutions independently.
- A willingness to use digital and AI tools appropriately to research, prepare content and work more efficiently.
We are happy to provide guidance and teach our systems. What matters most is that you are willing to learn, comfortable working things out and able to take an idea through to a finished result without needing every step explained.
Skills and Requirements
You will need:
- A current NT Driver’s Licence.
- Strong general computer skills, including Microsoft Word, Excel, email and electronic calendars.
- The ability to learn new systems quickly.
- A clear understanding of confidentiality and professional conduct.
Basic accounting knowledge would be helpful but is not essential.
