Our Facilities Management team plays an important role in delivering safe, efficient and high-quality services across our operations, and we are looking for a proactive Contracts Administration Assistant to join the team.
About the Role
As the Contracts Administration Assistant, you will provide administrative and operational support to the Facilities Management team.
This is a varied role where you will assist with contract coordination, scheduling, compliance administration, procurement, reporting, invoicing support and data management.
You will work closely with internal teams, external contractors and stakeholders to ensure contractual obligations and service delivery requirements are met accurately and efficiently.
This is an excellent opportunity for an organised and detail-oriented administrator who enjoys working in a fast-paced environment and contributing to continuous improvement.
This is a part-time opportunity with flexible working hours available to suit the right candidate.
What You'll Do
In this role, you will:
Contract Administration Support
Assist with the administration and coordination of contract-related activities
Maintain accurate records, registers and supporting documentation
Provide general administrative support to business operations
Provide leave coverage for the Contracts Coordinator when required
Compliance Management




Receive and report Infrastructure Services Requests (ISRs) to relevant customers
Maintain internal ISR registers and ensure records are accurate and up to date
Assist with compliance documentation and contract reporting requirements
Scheduling & Resource Coordination
Schedule customer referrals and communicate booking details to relevant Case Coordinators
Coordinate site attendance requirements for monthly bookings
Provide compliance documentation and site access information to external Facilities Management teams
Develop, maintain and publish contractor and workforce schedules
Liaise with subcontractors regarding work allocations and scheduling requirements
Monitor schedule adherence and assist with resolving resource allocation issues
Administration & Reporting
Coordinate ordering of goods and services in line with organisational procedures
Maintain procurement records and support supplier administration
Collect and maintain evidence for customer invoices and Service Delivery Reports (SDRs)
Assist with end-of-month invoicing documentation and processing
Provide administrative support for the Urbanise system as required
Maintain daily performance data and ensure accurate, timely reporting
About You
You are a highly organised and reliable administrator who thrives on managing multiple priorities while maintaining a high level of accuracy.
You enjoy working collaboratively,



building strong relationships and finding ways to improve processes.
You will bring:
Previous experience in an administration or contract support role
Strong organisational and time management skills
Excellent attention to detail and accuracy
Proficiency in Microsoft Office, particularly Excel, Word and Outlook
The ability to manage multiple tasks and meet deadlines
Strong written and verbal communication skills
The ability to work independently and collaboratively within a team
A high degree of personal integrity and reliability
A commitment to customer service and continuous improvement
What You'll Bring
To be successful in this role, you will have or be willing to obtain:
Previous experience in administration or contract support
Current NDIS Worker Check
National Police Clearance
Current Australian Driver's Licence
Completion of the NDIS Worker Orientation Module
Evidence of required vaccinations in line with organisational requirements
Desirable Experience
Experience in contract administration, facilities management or service delivery environments
Experience using Urbanise or similar work management systems
Understanding of procurement and invoicing processes
Knowledge of compliance and reporting requirements within service contracts
