About Renewed ElectricalRenewed Electrical is a growing Tier 2 commercial electrical contractor delivering electrical, communications, service, maintenance and project works across government, education, commercial and industrial sectors throughout WA.
With a strong secured pipeline, a growing service division and increasing project activity, we are looking for a capable, polished and highly organised Operations Administrator to support our Operations Team, General Manager and service delivery function.
This is not a basic reception role.
This is a key operational support position suited to someone who understands how to keep jobs, people, paperwork, systems and clients moving in a busy trade or construction business.
You will play a direct role in supporting client communication, service coordination, job administration, mobilisation, compliance, payroll support, purchasing, invoicing and general back-office control.
The RoleAs Operations Administrator, you will be one of the first points of contact for clients, subcontractors, suppliers and technicians.
You will assist with service bookings, client communication, job coordination, onboarding, mobilisation, compliance documentation, contract administration and operational reporting.
Your work will directly support the efficiency of the business, the quality of our client service, the accuracy of our systems and the ability of our operations team to deliver work properly.
This role would suit someone who is confident on the phone, commercially aware, systems-driven and comfortable working across multiple priorities in a fast-paced electrical, construction, facilities maintenance or trade services environment.
Key ResponsibilitiesService & Operations SupportManage incoming client enquiries, service requests and operational communications.
Assist with service bookings, technician scheduling and job confirmations.
Follow up open jobs, outstanding information, client responses and job close-out requirements.
Support the General Manager and Operations Team with daily coordination, reporting and administration.
Liaise with technicians, subcontractors, suppliers and clients to keep works moving.
Assist with job setup, work orders, job notes, purchase orders, job documentation and close-out records.
Maintain clean, accurate and up-to-date job information within internal systems.
Client CommunicationProvide qualified, timely and commercially aware communication to clients.
Issue booking confirmations, service updates, completion notices and follow-up correspondence.
Assist with client onboarding, site access requirements, contract documentation and mobilisation information.
Maintain a high standard of presentation across emails, forms, client packs and operational documents.
Support the business in delivering a responsive, professional and well-organised client experience.
Mobilisation, Compliance & Document ControlAssist with onboarding employees, subcontractors, suppliers and project/service clients.
Prepare and maintain mobilisation packs, site documents,



licences, tickets, inductions and access requirements.
Coordinate lodgements through client portals, contractor management systems and compliance platforms.
Maintain SWMS, registers, audit packs, project folders and operational documentation.
Support ISO-related document control, including forms, records, audit evidence and compliance registers.
Track expiry dates for licences, insurances, inductions, training records and Certificates of Currency.
Contract Administration & Project SupportAssist with contract administration, project setup and documentation control.
Support the issue, tracking and filing of purchase orders, work orders, variations, claims support information and client correspondence.
Assist with project and service close-out documentation, including completion records, photos, forms, manuals and compliance packs.
Follow up missing paperwork, outstanding approvals, signed documents and client-required lodgements.
Support the operations team with practical administration that helps protect the business commercially and contractually.
Payroll, Timesheets & AdministrationAssist with weekly timesheet review, validation and discrepancy follow-up.
Support payroll processing in Xero, KeyPay, Employment Hero or similar systems.
Assist with leave records, employee records and general HR administration.
Maintain tidy internal records, registers and filing systems.
Follow up missing timesheets, allowances, job allocations and supporting information.
Purchase Orders, Invoices & Accounting SupportRaise purchase orders and assist with supplier invoice matching.
Support basic reconciliations, job costing, cost allocation and invoice preparation.
Assist with supplier account queries, credits, missing invoices and receipt chasing.
Maintain accurate data in accounting and job management systems.
Support bank feed maintenance, accounts administration and general bookkeeping processes.
Work closely with internal finance support to ensure jobs are costed and administered correctly.
Fleet, Plant & Business RegistersMaintain vehicle, plant, machinery and equipment registers.
Track servicing, registrations, insurance renewals and inspection requirements.
Maintain insurance records and assist with Certificates of Currency when required.
Help keep business registers, compliance records and operational systems accurate and current.
What You'll BringEssentialMinimum 3 years' experience in operations administration, service coordination, contract administration, maintenance administration, construction administration or a similar role.
Strong experience using accounting, payroll or job management software.
Confidence working with systems such as Xero, Employment Hero, KeyPay, SimPRO, Ascora, AroFlo,



ServiceM8 or similar.
Strong phone manner and professional written communication.
Experience supporting service bookings, job administration, scheduling, technician coordination or client service delivery.
High attention to detail with documents, registers, purchase orders, invoices, timesheets and follow-up actions.
Ability to manage competing priorities without losing control of the detail.
A practical, organised and solutions-focused approach.
Ability to work with senior leadership, operations teams, site staff, technicians, subcontractors, suppliers and clients.
Confidence taking ownership of tasks and following them through to completion.
Highly RegardedExperience within an electrical contracting, construction, facilities maintenance, building services or trade services business.
Experience with mobilisation, onboarding, client portals, contractor management systems or site access requirements.
Contract administration or project administration experience.
Payroll or timesheet processing experience.
Purchase order, supplier invoice and job costing experience.
Exposure to government, defence, education or commercial maintenance contracts.
Experience maintaining SWMS, licences, tickets, registers, Certificates of Currency or audit packs.
Understanding of ISO document control, audit preparation or compliance administration.
Cert IV Bookkeeping, Business Administration, Project Administration or similar.
Canva or basic document/design skills for client packs and presentations.
