We are seeking an exceptional Executive Assistant to become a key member of a small, dedicated team supporting a person with a physical disability who lives independently in their own home on the Gold Coast.
This is a unique and rewarding role that combines executive-level administrative responsibilities with the coordination of a personalised support service, assisting the client with the day-to-day requirements of a self-managed business.
No two days are the same.
You'll work closely with the client, while also having the autonomy to manage a broad range of administrative and operational functions independently, keeping the client updated.
This position is ideal for someone who enjoys taking ownership, solving problems, and making a real difference in someone's quality of life.
Key Responsibilities
Contribute as an active member of a collaborative support team, committed to helping the client live at home independently with full care.
Staff Rostering: Coordinate and maintain rosters for the support worker team, managing shift changes and leave requests, liaising with independent support agencies for extra coverage of shortfalls.
Assist with recruitment, onboarding and documentation for support staff.
Payroll: Process staff timesheets, preparing for payroll and finance team.
Assist with budgeting, purchasing, stock ordering and financial record keeping
NDIS Administration: Prepare and submit NDIS claims, track plan budgets, and liaise with plan providers or the NDIA as required, on behalf of the client.
Manage NDIS payment claims and monitor funding utilisation by developing and improving administrative systems and procedures.
Correspondence & Scheduling: Manage emails, appointments, correspondence,
and communications on behalf of the client, along with updating the client's schedule and roster.
Document & Records Management: Maintain confidential files and ensure accurate, private records relating to support, finances, and organisational policies are compliant with relevant legislation.
General Administration: Support with bill payments, service bookings, personal commitments and other household/administrative tasks.
Liaise with accountants, payroll providers, government agencies and service providers, all on behalf of the client.
Client-Facing Support: Work directly and respectfully with the client to understand their preferences, priorities, and instructions, ensuring they retain choice and control over their support.
Complete daily records of tasks undertaken and regularly update the client as necessary.
About You
You are organised, trustworthy, proactive and highly dependable.
You can work independently with minimal supervision while also collaborating effectively within a close-knit team.
You will have:
Previous experience as an Executive Assistant, Office Manager, Operations Coordinator or similar senior administrative role.
Excellent organisational and time management skills.
Strong written and verbal communication skills.
High attention to detail and accuracy.
Sound knowledge of Microsoft Office, spreadsheets,
general office systems and cloud-based business applications.
Experience with payroll, rostering, stock control, ordering and financial administration.
The ability to handle confidential information with privacy and discretion.
A flexible, positive and solution-focused approach.
The ability to prioritise competing demands in a dynamic environment.
Genuine commitment to supporting the client's autonomy, dignity, and choice.
Desirable
Experience in disability services, community care or the NDIS.
Knowledge of NDIS funding and claiming processes.
Experience using rostering and payroll software.
Current First Aid Certificate.
National Police Clearance.
Current driver's licence.
