As our organisation continues to grow, we are looking for an experienced Office, Payroll & Rostering Administrator to become an integral part of our team.
This role is ideal for someone who enjoys variety, takes ownership of their work, and thrives in a small business environment where no two days are the same.
You will be responsible for coordinating office administration, payroll processing and staff rostering, ensuring our operational systems run efficiently and our staff and participants receive exceptional support.
About the RoleThis is a varied role responsible for the smooth day-to-day administration of our office, end-to-end payroll processing and workforce rostering.
You will work closely with management to ensure payroll accuracy, maintain compliant staff rosters and provide administrative support across the organisation.
The successful applicant will be confident using Xero Payroll and Deputy, possess excellent organisational skills and enjoy working in a fast-paced setting.
Key ResponsibilitiesPayroll
Process fortnightly payroll accurately using Xero Payroll.
Review, verify and approve employee timesheets from Deputy.
Ensure compliance with Single Touch Payroll (STP), Fair Work legislation and superannuation obligations.
Process leave requests, reimbursements and payroll adjustments.
Maintain employee payroll records.
Interpret Modern Awards and employment agreements.
Respond to payroll enquiries promptly and professionally.




Ensure payroll deadlines are consistently met.
Rostering
Prepare, publish and maintain staff rosters using Deputy.
Allocate shifts based on participant needs, employee availability, qualifications and funding.
Coordinate roster changes, shift swaps and emergency replacements.
Fill vacant shifts and respond to last-minute staffing requirements.
Monitor staff availability and leave to ensure adequate service coverage.
Communicate roster updates with employees in a timely manner.
Ensure rosters comply with award requirements, fatigue management principles and organisational policies.
Liaise with support workers and management regarding roster issues.
Assist with onboarding new employees into the rostering system.
Monitor overtime and labour costs where appropriate.
Office Administration
Provide administrative support to management.
Answer telephone and email enquiries.
Maintain employee records and confidential documentation.
Assist with recruitment administration, onboarding and offboarding.
Prepare reports, correspondence and business documents.
Maintain office filing systems and databases.
Coordinate office supplies and equipment.
Support compliance, audits and quality assurance activities.
Assist with policy and procedure administration.
Identify opportunities to improve office systems and processes.

Deputy
Microsoft Office 365
About YouYou will bring:
Essential
Previous experience in payroll administration.
Previous rostering or workforce scheduling experience.
Experience using Xero Payroll.
Experience using Deputy or similar rostering software.
Strong understanding of Australian payroll legislation.
Knowledge of Fair Work Awards and National Employment Standards (NES).
Excellent organisational and time management skills.
Ability to prioritise competing deadlines.
Strong problem-solving skills.
Excellent communication skills.
High attention to detail.
Ability to maintain confidentiality.
Intermediate to advanced Microsoft Office skills.
Desirable
Experience within the disability, aged care or community services sector.
Knowledge of the SCHADS Award.
Experience with NDIS administration.
Certificate IV or Diploma in Business Administration, Payroll, Accounting or Human Resources.
