Position Overview
The Administrator plays a central role in the day-to-day experience of both clients and practitioners, helping to create a professional, welcoming, and highly organised environment across the practice. As one of the key operational support team members, this role is responsible for ensuring the smooth coordination of appointments, client enquiries, practitioner support, documentation, and front of house operations and consulting room coordination.
Working within a fast paced and purpose driven mental health and allied health environment, the Administrator is often the first point of contact for clients and plays an important role in shaping a positive and supportive client journey in every interaction. The role requires strong attention to detail and stability, excellent communication and IT skills, emotional intelligence, and the ability to confidently manage competing priorities while maintaining professionalism and warmth.
This position is ideally suited to someone with experience in medical, psychology, or allied health administration who enjoys working in a people focused environment, takes pride in being organised and proactive, and values contributing to a service that supports the wellbeing of individuals, families, workplaces,
and the broader community.
Key Responsibilities
Phone management, bookings, Intake, emails, and reception
Medicare and third party billing, invoicing, and payment processing
Scanning, filing, and documentation management
Mail distribution and outgoing correspondence
Client service and practitioner support
Stock control and room checks
General clerical and day-to-day administrative tasks
Duties include
Answering telephones and managing patient bookings
Patient enquiries, triage
Invoicing and Medicare billing
General clerical/reception duties
Any day-to-day duties that may arise around building
Key Skills & Attributes
Previous experience in medical or allied health administration
Strong organisation, time-management, and attention to detail
Warm, professional communication style (written and verbal)
High level of confidentiality and emotional intelligence
Comfortable using practice management software (e.g. Coreplus or similar)
Ability to work calmly under pressure and manage competing priorities
A compassionate, client-centred approach
Work Schedule
Supports practice operating hours (Mon–Thu 8am–7pm; Fri until 6pm; Sat 9am–5pm)
Involves early/late shifts and working 1 in 3 Saturdays, with a weekday RDO
