Operations Lead
Temporary Assignment
Melbourne CBD | Full time, on site | Approximately 8 weeks | $45 per hour plus superannuation

About the organisation
Our client is a respected, mission-led health and wellbeing organisation based in the heart of the Melbourne Central Business District, minutes from Flinders Street Station. Small, collaborative and genuinely purpose-driven, the team is around thirty people across head office and clinical services, working together on outcomes that matter.
About the role
This is a broad, hands-on office operations, administration and reception position the operational go-to for the office. It reports to the Chief Executive Officer with day-to-day direction from the Chief Financial and Operating Officer, and touches everything from front of house through to governance support.
To be clear on scope: this is not a traditional executive assistant role. Executive support is one component, but the position is built around keeping the office running well.
What you will be doing
- Front of house reception, visitor management and incoming calls
- Managing shared inboxes including careers and general enquiries
- Calendar coordination for the Chief Executive Officer, including meetings and occasional travel
- Booking meetings, rooms, catering and audio visual requirements
- Managing office and kitchen supplies and overall workplace presentation
- Coordinating building management, maintenance, information technology and equipment matters
- Preparing, collating and distributing Board and Finance Committee papers, issuing agendas and following up attendees
- Human resources administration alongside the Recruitment Partner, including system updates, filing, onboarding and offboarding
- Recruitment administration, including telephone screening of high-volume applications
- Maintaining organisational records, registers, policies and website content
- Coordinating staff meetings, internal communications and announcements
- Producing correspondence, reports, presentations and customer relationship management records
What you will bring
- Solid background in office coordination, administration or operations in a similar broad, standalone capacity
- Confident front of house presence and the judgement to manage competing priorities without direction
- Strong written communication and a high standard of accuracy
- Comfort supporting senior stakeholders while remaining hands-on with day-to-day office tasks
- Experience supporting board or committee meeting processes is well regarded
- Sound Microsoft Office Suite skills and the ability to pick up new systems quickly
- Comfort working with subject matter relating to women's health, including menstruation and menopause
