The prospect

We are seeking an experienced Office Manager to organise and oversee the administrative functions, resources and day to day operations of our financial advice practice.

This is a hands on management position responsible for the effective operation of our administrative systems, office personnel, resources and service standards. You will work closely with the Managing Director, financial advisers, administration team and external professionals to ensure the business operates efficiently and consistently.

The successful candidate will be organised, proactive and comfortable supervising staff, improving administrative processes and managing competing operational priorities within a regulated professional services environment.

Key responsibilities

Your responsibilities will include:

1. Planning, reviewing and improving office services, administrative systems, workflows and service standards.
2. Setting operational priorities and coordinating the day to day activities of the office.
3. Allocating administrative staff, office resources, systems, equipment and workloads according to business requirements.
4. Assigning work to administrative team members and monitoring performance, deadlines, quality and completion.
5. Supervising, supporting and training office and administrative personnel.
6. Coordinating recruitment, onboarding, leave arrangements, performance reviews, payroll information and ongoing staff development.
7. Developing, documenting and maintaining office policies, procedures, templates and internal operating standards.
8. Managing office records, correspondence, document control, invoicing, expenses, accounts payable and administrative reporting.
9.



Overseeing the accurate maintenance of client records, electronic files, workflow systems and customer relationship management systems.
10. Liaising with financial advisers, paraplanners, accountants, compliance consultants, insurers, investment platforms and other external service providers to coordinate office activities and resolve operational issues.
11. Monitoring administrative workflows associated with client onboarding, advice preparation, implementation, reviews and ongoing client service.
12. Ensuring confidentiality, privacy and appropriate handling of sensitive client and business information.
13. Coordinating office facilities, supplies, technology, equipment, contractors and service providers.
14. Ensuring office equipment and systems are properly maintained and arranging repairs, replacements or upgrades when required.
15. Supporting compliance with relevant legislation, workplace policies, internal procedures and financial services record keeping requirements.
16. Ensuring the workplace complies with applicable work health and safety requirements.
17. Identifying operational risks, workflow issues and resource requirements and reporting these to senior management.
18. Preparing operational reports and providing recommendations to management regarding staffing, systems, office services and process improvements.

This position does not involve providing personal financial advice unless the employee is separately qualified and appropriately authorised to do so.

Skills and experience

To be successful in this role, you will have:

1. An AQF Associate Degree, Advanced Diploma or Diploma in business administration, management, financial services or a related discipline.
2. Alternatively, at least three years of relevant office management experience may substitute for a formal qualification.
3. Demonstrated experience managing office operations, administrative systems and business resources.
4. Experience supervising administrative staff, allocating work and monitoring performance.
5.



Strong organisational skills and the ability to manage multiple priorities and deadlines.
6. Experience managing business records, invoices, expenses, office accounts and administrative reporting.
7. Strong written and verbal communication skills.
8. A high level of accuracy, discretion and attention to detail.
9. Confidence liaising with senior management, professionals, employees, clients and external service providers.
10. Strong technology skills, including Microsoft 365 and experience using customer relationship management, workflow or document management systems.
11. An understanding of workplace health and safety, privacy, confidentiality and records management obligations.

Experience in financial planning, wealth management, superannuation, accounting, insurance or another regulated professional services environment will be highly regarded.
