Are you an experienced administrator with a passion for delivering exceptional customer service and supporting quality healthcare? Join Western District Health Service as a pharmacy clerk, where you'll provide administrative, inventory and customer service support to help ensure efficient pharmacy operations every day.

This is a role for someone who is organised, detail-oriented and enjoys working in a collaborative healthcare environment. You will support inventory management, stock control, reporting, invoicing, patient file management and pharmacy supply distribution, while providing professional service to patients, carers and staff in line with relevant guidelines and policies.

What You'll Be Doing

As part of our dedicated Pharmacy team, you'll provide high-quality administrative, inventory and customer service support to ensure the efficient operation of the Pharmacy Department across Western District Health Service.

Inventory Management & Reporting —
Prepare and distribute monthly inventory reports, provide relevant stock data to Finance and other departments, and assist with the effective management of pharmacy inventory systems.

Stock Control & Supply Coordination —
Maintain and update computerised stock control systems, including ordering, product files and supplier details, while monitoring, investigating and resolving stock discrepancies across receipt, storage and distribution processes.

Customer Service & Front Office Support —
Deliver professional customer service to patients, carers and staff, manage enquiries, answer telephone calls and assist visitors accessing Pharmacy services.

Financial & Administrative Support —
Process invoicing for wards, departments, regional hospitals and external customers, while undertaking general administrative duties including file management, mail handling, cash receipting and data entry.

Pharmacy Operations Support —
Maintain imprest stock systems in collaboration with pharmacists and pharmacy technicians, coordinate and support regular stocktakes, and assist with the distribution of pharmacy supplies throughout the hospital.

Programs, Quality & Collaboration —
Support Pharmacy programs, including the National Diabetic Supply Scheme,



and work collaboratively with Pharmacy staff and other departments to ensure services are delivered efficiently and in accordance with relevant guidelines, policies and procedures.

What You Bring

- Communication - Strong communication skills with the ability to provide clear, accurate and timely information through phone, written correspondence and face-to-face interactions.
- Teamwork - Ability to work collaboratively within a team workplace, sharing information effectively and supporting coordinated service delivery.
- Confidentiality - Commitment to maintaining confidentiality, discretion and professionalism when handling sensitive patient, staff and organisational information.
- Documentation - Well-developed administrative skills with the ability to prepare accurate documentation, correspondence, reports and meeting minutes.
- Customer Service - Proven ability to deliver high-quality, professional and responsive customer service to patients, staff and stakeholders.
- Computer Literacy - Demonstrated proficiency in Microsoft Office applications and the ability to effectively use administrative, financial and inventory management systems.
- Organisation & Attention to Detail - Strong organisational, time management and problem-solving skills, with a high level of accuracy and attention to detail.
