Reception & Administration Officers
Allied Health Clinic | Ridgehaven – Full Time | Woodville Park – Part Time

Due to continued growth, AEP Health Group is seeking friendly, organised and motivated Reception & Administration Officers to join our team.
We currently have two positions available:
- Ridgehaven – Full Time
- Woodville Park – Part Time

About the Roles
As the first point of contact for our clients, you'll play an important role in creating a welcoming, professional and positive clinic experience while supporting the smooth day-to-day operation of our reception and administration functions.
Working in a modern, paperless environment, you'll collaborate with a multidisciplinary team of Allied Health professionals and provide high-quality administrative support across a range of clinical services.
Working Hours
Ridgehaven – Full Time
- Monday to Thursday: 9:00am – 5:00pm
- Friday: 9:00am – 4:00pm
- No weekends or after-hours work
Woodville Park – Part Time
- Part-time hours to be negotiated based on clinic requirements and applicant availability
- Please include your preferred days and hours of availability in your application
- No weekends or after-hours work

Applicants with previous medical or Allied Health administration experience are strongly encouraged to apply.
Key Responsibilities
Client Experience
- Welcome clients with warmth, professionalism and empathy
- Assist with appointments, referrals and general enquiries
- Create a positive and supportive experience for every client
Appointment & Diary Management
- Coordinate appointments for multiple Allied Health practitioners
- Manage clinician diaries using PracSuite
- Maintain accurate appointment schedules and client records
Client Communication
- Respond professionally to phone, email and SMS enquiries
- Liaise with clients, referrers and healthcare providers
Administration & Funding
- Process referrals, payments and day-to-day administrative tasks
- Support clients across a range of funding programs, including:
- Medicare
- Department of Veterans' Affairs (DVA)
- National Disability Insurance Scheme (NDIS)
- Return to Work
- Aged Care
- Private clients
About You
We're looking for someone who is:

- Highly organised with excellent attention to detail
- Able to prioritise tasks and remain calm under pressure
- Confident working independently and as part of a team
- Passionate about delivering exceptional customer service
- Reliable and proactive in their approach to their work
Skills & Experience
Highly Regarded
- Previous experience in medical or Allied Health administration
- Experience managing appointments, referrals, billing and payments
- Excellent written and verbal communication skills
- Confidence using clinical software systems
- Strong understanding of confidentiality and privacy requirements
- Ability to coordinate multiple practitioners and competing priorities
- Experience working with Medicare, DVA, NDIS, Return to Work and Aged Care funding pathways
- Experience using PracSuite
- Experience using HICAPS and Medipass/Tyro payment systems
