Position
Office Manager – Sydney, NSW.
This is a full‐time position with an annual salary of $80,000 plus superannuation.
Responsibilities
Contribute to the planning, development and review of office services, procedures and operational standards
Establish priorities and service standards for sales administration and scheduling functions
Monitor operational workflows and implement process improvements to enhance efficiency
Ensure effective coordination between Sales, Operations, Installation and Administration departments
Allocate staffing resources, workloads and operational support based on business requirements
Coordinate office resources, equipment and systems to support business activities
Monitor team capacity and operational demands to ensure service delivery targets are met
Assign work tasks and monitor performance of scheduling and administration staff
Provide leadership, coaching, training and ongoing support to team members
Conduct performance reviews and contribute to performance management processes
Assist with recruitment, onboarding and training of new employees
Manage office records, operational documentation and reporting systems
Ensure accurate maintenance of business records, customer information and sales data
Oversee CRM systems, including Salesforce and Field Service Lightning
Maintain operational reporting and performance tracking systems
Oversee appointment scheduling processes and sales administration activities
Coordinate workforce schedules and operational requirements across multiple sales regions
Manage planning and logistics for away-trip operations and regional sales activities
Liaise with operational departments to align scheduling with installation capacity
Liaise with managers, operational teams and other professionals to coordinate business activities
Facilitate communication between departments and assist in resolving operational issues
Respond to internal stakeholder requests and support continuous business improvement initiatives
Ensure office equipment, systems and technology resources are maintained and operational
Coordinate system access, software requirements and operational support resources
Monitor office supply requirements and administrative resources
Ensure compliance with company policies, procedures and operational standards
Support adherence to relevant workplace health and safety requirements
Ensure business processes comply with privacy legislation and data management requirements
Assist with implementing regulatory and organisational compliance initiatives
Prepare operational reports and performance metrics for management review
Monitor scheduling efficiency, workload distribution and service delivery standards
Analyse operational trends and identify opportunities for process improvement
Provide recommendations to improve office productivity and operational performance
Requirements
Must hold a minimum Degree qualification in Business Administration, Management, or a related field.
Minimum 3 years of experience in office administration, operations coordination, business support, scheduling or office management roles
Minimum 3 years' experience as an Office Manager or in an office administration management role
At least 3 years' experience coordinating office operations, administrative systems, and business support functions
Minimum 3 years' experience managing records, schedules, correspondence, and operational documentation in a commercial workplace
At least 3 years' experience supporting multidisciplinary teams within property, real estate, or customer service environments
At least 3 years' experience using office management systems, Microsoft Office applications, and business administration software
Strong knowledge of office administration procedures, workflow coordination, and document management practices
Ability to manage competing priorities and maintain operational efficiency in a fast-paced environment
Strong organisational, communication, and stakeholder coordination skills
Ability to prepare reports, maintain accurate records, and manage confidential information professionally
Good understanding of workplace compliance, administrative controls, and customer service standards
Ability to work independently and support business operations within structured deadlines
High attention to detail and problem-solving capability
