Executive Assistant to CEO & COO
Cremorne Location | $130,000 - $120,000 + super & benefits | Hybrid & flexible working
An exciting opportunity has arisen to join one of Australia's fastest-growing technology businesses as an Executive Assistant, supporting a high-performing CEO and COO.
This is a broad, hands-on role for a genuine self-starter who takes ownership, anticipates what is needed and enjoys working in a rapid-paced environment where no two days are the same.
The business is scaling rapidly, with a growing international presence, and this role will play an important part in supporting both the leadership team and the continued growth of the Melbourne and UK offices.
About the role
You will be the primary support to the CEO, with a secondary relationship supporting the COO, while taking ownership of the day-to-day running of the Melbourne office.
You will:
- Own the CEO's calendar and inbox, proactively resolving clashes, protecting focus time and ensuring follow-ups don't slip
- Work closely with the CEO to manage priorities, outstanding actions and upcoming commitments
- Provide calendar, inbox and administrative support to the COO
- Prepare for, attend and follow up on key leadership and board meetings, including tracking actions through to completion
- Assist with board meeting logistics and coordination of materials
- Coordinate domestic and international travel for the CEO and COO, including flights, accommodation and detailed itineraries
- Manage confidential and sensitive information with discretion and sound judgement
- Own the day-to-day running of the Melbourne office, including facilities, supplies, suppliers, subscriptions and renewals
- Support the setup and ongoing development of the company's UK office, working with the local team and suppliers
- Coordinate workplace health and safety requirements
- Manage onboarding and offboarding logistics alongside People & Culture and IT
- Plan and coordinate company events, offsites and team celebrations across both offices
- Own and report against the office and travel budget
- Help keep leadership and cross-functional meeting cadences on track, ensuring agendas, materials and follow-ups are managed
About you
You'll be an experienced Executive Assistant or Executive support professional.
- Be proactive and see what needs doing without waiting to be asked
- Have exceptional organisation and follow-through
- Be comfortable managing complex and constantly changing priorities
- Have strong judgement and discretion
- Be confident coordinating international travel and busy executive calendars
- Communicate clearly and professionally
- Be comfortable working with senior stakeholders
