The Role

We're looking for a Service & Operations Coordinator to join our team, someone who thrives in a fast-paced, autonomous environment and knows what it takes to keep a service business running smoothly. This is the engine room of Protector: coordinating our technicians, managing client bookings, handling quotes and invoicing, and making sure our property manager and commercial clients feel genuinely looked after.

You will have real ownership of your responsibilities and work closely with senior leadership. Experience in a trade, service, or facilities workplace is highly regarded, but what matters most is that you take initiative, communicate with confidence, and get things done without being managed.

What You'll Do

- Coordinate and sequence our weekly job schedule, managing technician bookings, rescheduling, and keeping everything running on time





- Be the first point of contact for inbound enquiries - answer calls, respond to online submissions within 5–10 minutes, and convert enquiries to bookings

- Follow up outstanding quotes on a structured, documented cadence

- Send and manage invoices the same day jobs are completed, pushed through to Xero

- Liaise directly with clients and key stakeholders, confirming appointments and managing rescheduling

- Acknowledge and nurture referral relationships

- Act as the day-to-day point of contact for our technicians

- Conduct weekly team check-ins and report to the directors

- Oversee WHS and compliance: toolbox talks, SOP maintenance, PPE and chemical compliance

- Source supplier quotes and manage procurement, with director sign-off

- Support the directors on ad hoc projects as the business grows

What We're Looking For

- Experience in a service coordination, operations, or scheduling role - trade, facilities, pest, or field service background highly regarded

- Confident communicator across phone, email, and SMS

- Experience with job management or scheduling software (ServiceM8 a bonus, we'll train you)

- Highly organised, able to manage multiple competing priorities

- Self-motivated and comfortable working from home without day-to-day oversight

- High level of personal accountability

- Comfortable with invoicing and basic financial admin

What We Offer

- $70,000–$85,000 + super + commission
