We are an established Sydney-based business delivering high-end joinery and fit-out projects and are seeking an experienced Bookkeeper & Purchasing Officer to join our team in Alexandria.
This is a hands-on role combining day-to-day bookkeeping, payroll, cashflow reporting, purchasing and supplier coordination. You will work closely with the Directors and operational team and will play an important role in keeping the financial and purchasing functions organised, accurate and ahead of upcoming requirements.
This is a full-time, office-based position working Monday to Friday from our Alexandria office. This role does not offer a hybrid or work-from-home arrangement.
The Role
You will take ownership of the day-to-day bookkeeping and purchasing functions, with responsibilities including:
- Maintaining accurate and up-to-date records in Xero
- Processing weekly payroll and ensuring STP is lodged accurately and on time
- Bank and credit card reconciliations
- Accounts payable and supplier statement reconciliations
- Preparing supplier and subcontractor payment batches for Director approval
- Monitoring accounts receivable and following up outstanding invoices
- Assisting with project invoicing and progress claims
- Maintaining accurate project costing and allocating expenses to the correct jobs
- Monitoring retentions and outstanding project amounts
- Maintaining a register of recurring direct debits and financial commitments
- Assisting with BAS, PAYG, superannuation and other compliance requirements in conjunction with our external accountant
- Preparing a confidential weekly cashflow forecast for management
- Monitoring expected receipts, payroll, supplier commitments, direct debits and upcoming expenditure
- Identifying potential cashflow shortfalls or supplier issues before they become a problem
- Monitoring WIP and assisting management with visibility over upcoming invoicing and cash receipts
- Raising and managing purchase orders
- Obtaining supplier pricing and quotations
- Placing approved orders and confirming availability and lead times
- Coordinating material deliveries with project and production requirements
- Following up outstanding orders and delayed deliveries
- Maintaining supplier pricing and account information
- Monitoring supplier credit limits and potential stop-credit issues
- Matching purchase orders, delivery documentation and supplier invoices
- Tracking materials ordered but not yet invoiced
- Maintaining visibility over committed project costs
- Developing and maintaining strong supplier relationships
About You
We are looking for someone who is highly organised, detail-focused and comfortable taking ownership of their responsibilities.
You will ideally have strong hands-on bookkeeping experience, excellent Xero knowledge, Australian payroll and STP experience, solid AP/AR and reconciliation skills, and experience preparing cashflow forecasts.
Purchasing, procurement or supplier-management experience will be highly regarded, particularly within joinery, construction, manufacturing, commercial fit-out or another project-based workplace.
You will also need strong Excel skills, excellent attention to detail, confidence communicating with suppliers and management, and the ability to manage competing priorities and follow matters through to completion.
We are particularly interested in someone who is proactive and able to identify upcoming issues rather than simply reporting them after the fact.
What We Offer
A permanent full-time position working Monday to Friday from our Alexandria office, with a salary of $85,000–$95,000 + super depending on experience.
You will work directly with the Directors and operational team in a varied role that offers genuine ownership of the bookkeeping and purchasing functions within a busy, high-end project environment.
