Visitor preregistration, manage incoming calls, and greet visitors
Provide wayfinding assistance and directions to employees and guests entering the premises
Keep reception point neat and tidy
Handle incoming and outgoing mail and coordinate courier services (both local and international)
Arrange deliveries and shipments requests when needed
Scan and electronically file finance-related mails
Meeting room management
Assist in meeting room(s) booking when requested
Conduct meeting room space set up and reset in a timely manner
Coordinate meeting refreshments, including the preparation and service of water, coffee and other beverages
Pantry & event management
Replenish and maintain pantry supplies including snacks, beverages, coffee capsules, milk and fruits
Perform daily light cleaning and checks on coffee machines
Organize and manage on-site events such as happy hour events and catering arrangements for meetings. This includes event space set up and reset and delivery of supplies
Produce, maintain, and distribute monthly company newsletters
Workplace management
Coordinate employee onboarding and offboarding
Support new joiner setup and manage exit procedures including access cards and key collection
Manage locker allocation for new joiners
Manage ordering and replenishment of office supplies, stationery, and other essentials
Be a local expert and a gateway for employees to connect with the surrounding community
Arrange and order employee gifting, including baby gifts and other recognition items as required
Ensuring all records (as-built drawing, access card logs, etc.) are properly filed, updated, and readily accessible for operational and audit purposes
Manage office keys, stamps,
and access cards to ensure secure handling procedures
Acknowledge inquiries or complaints from employees, guests, and co-workers. Provide solutions in a professional customer service-driven manner
Provide as needed remote support for Melbourne and Brisbane offices
Provide support for general workplace needs including space planning, office moves when the need arises
Facilities management
Coordinate day-to-day facilities operations including planned preventive maintenance (PPM), maintenance works (lighting, HVAC, MEP, etc.), office services, and vendor management to ensure a secure, efficient, and well-maintained workplace
Manage and monitor service providers to ensure service delivery meets agreed standards and SLAs.
Support health and safety compliance by conducting workplace inspections, maintaining safety records, and ensuring adherence to company policies and locally regulatory requirements
Oversee fire safety measures including facilitating fire drills and supporting compliance with building and statutory fire safety regulations
Conduct routine site walks and report any repairs in a timely manner and follow up through to resolution
Troubleshoot minor issues and elevate appropriately
Respond to urgent messages relating to facilities alarms
Other administrative tasks
Monthly payment handling and invoice processing
Maintain oversight of contract durations,
ensuring timely review and proactive renewal to support operational continuity
Performs other duties as assigned
Minimum 2 years of experience in an operations capacity. Experience in facilities, hospitality or corporate real estate is a plus
Proven experience in front desk, reception, or client-facing roles, with the ability to deliver professional and welcoming service to employees, visitors, and stakeholders
Strong experience in office operations and coordination, including mail handling, meeting room management, and general administrative support in a corporate environment
Hands-on experience in workplace and facilities coordination, including vendor management, maintenance coordination, and supporting day-to-day office operations
Familiarity with health, safety, and compliance requirements, including supporting workplace inspections, fire safety procedures, and maintaining accurate operational records
Demonstrated ability in organization and multitasking, with experience managing inventory, document control, onboarding/offboarding processes, and responding effectively to ad-hoc workplace requests.
