We are looking for a highly organised and detail-oriented Payroll, Bookkeeping & Customer Care Coordinator to join our team in Carrington NSW. This is a diverse and rewarding role that combines payroll, bookkeeping, accounts administration, customer care support and general business administration.

Role Description This position supports the financial, administrative and customer care functions of the business. The bookkeeping and payroll component is approximately 12 hours per week, with additional responsibilities supporting customer care coordination, administration and operational activities making up the rest of your 8 hours per week. This role is permanent part time, Monday to Friday, 20 hours per week.
Reporting directly to the General Manager APAC, you will work closely with internal stakeholders to ensure payroll, accounts, customer support and business administration activities are completed accurately and efficiently. The Bookkeeper, Payroll and Customer Care Coordinator is a full-time, in office role based in the Greater Newcastle Area. This role is responsible for day-to-day bookkeeping tasks, including processing journal entries, reconciling accounts, preparing financial reports,
and maintaining accurate records in accounting software.
The coordinator manages payroll processing, ensuring timely and accurate payment, compliance with relevant regulations, and proper documentation for all team members. In addition, this role provides customer care support by responding to inquiries, resolving issues, managing order and invoice queries, and maintaining a high standard of professional and empathetic communication. The position works closely with internal teams to support smooth financial operations and a positive experience for practitioners, partners, and customers.
Key Responsibilities Include
Payroll & Bookkeeping
Process fortnightly payroll.
Complete bank reconciliations across multiple payment platforms.
Manage accounts payable and supplier invoices.
Process and reconcile Stripe, PayPal and AfterPay transactions.
Maintain financial records in Xero.
Prepare bills and supplier payment approvals.
Assist with month-end reconciliations.
Prepare payroll tax and IAS/BAS information.
Process foreign currency transactions and reconciliations.
Customer Care & Administration
Support customer service enquiries and tickets.
Coordinate warranty and refund requests.
Ensure customer issues are followed through to completion.
Monitor shared inboxes and administrative requests.
Maintain accurate customer and business records.
Coordinate and support the team to achieve weekly goals and priorities.
Office
Coordination
Provide general administration support and oversight across the business.
Help coordinate workflow and follow up outstanding tasks.
Assist with reporting and process improvement initiatives.
Contribute to a positive and collaborative team culture.
About
You
You will be someone who enjoys both numbers and people. You are highly organised, detail-focused and comfortable working independently while supporting a small busy team. To be successful you will have:
Experience in bookkeeping, accounts administration or payroll
Experience using Xero Strong bank reconciliation and accounts payable experience
Excellent administration and organisational skills
Confidence communicating with customers, suppliers and internal stakeholders
Strong attention to detail and accuracy
Ability to manage competing priorities and meet deadlines A proactive approach to identifying and improving processes
Willing to obtain a current Police Background Check and Financial Background Check
