Job Description
Project Administrator – Northcote VIC Kogan People Solutions, recruiters, are working with a leading supplier and distributor of commercial and industrial cleaning equipment known for their versatility, durability, and chemical‑free technology. Our client distributes commercial cleaning equipment throughout Australia, New Zealand, and parts of the Asia‑Pacific region. Our client is now seeking an experienced and qualified Project Administrator to support planning, coordination, implementation, and monitoring of business projects across their operations.

- Location: Based in Northcote, VIC
- Salary: An attractive salary package negotiable in the range of $80k to $85k plus superannuation per annum will be offered to the successful candidate.
- Tenure: Full-time and ongoing
About the role:
you’ll play a key role in organising and managing all aspects of business projects across the organisation. This involves working closely with management, sales, service technicians, suppliers, customers, and logistics providers to ensure projects are well coordinated, documentation is accurate, timelines are achieved, and customer requirements are met. You will assist with the administration of operational, procurement, installation, and business improvement projects while maintaining a strong commitment to quality and customer service.
Key responsibilities of the Project Administrator will include:
- Attend project,
customer, supplier, and internal meetings as required and assist with the preparation of reports, meeting minutes, agendas, project schedules, quotations, procurement documentation, and other project records.
- Coordinate project activities relating to equipment supply, installation, commissioning, training, and after‑sales support to help ensure projects are delivered on time and within scope.
- Liaise with internal departments, suppliers, freight providers, service technicians, and customers to coordinate project requirements and monitor project progress.
- Support project managers and senior staff by maintaining project documentation, monitoring milestones, and assisting with the management of project variations and administrative requirements.
- Review project correspondence and documentation, identify potential issues or delays, and escalate matters to senior management where appropriate.
- Gather, analyse, and report on project performance data to support business reporting and continuous improvement initiatives.
- Assist in coordinating procurement activities, inventory requirements, and supplier communications associated with project delivery.
- Ensure project documentation and reporting comply with company policies and management requirements.

- A Diploma (or higher) in a highly relevant field of study or agreed substitute.
- Minimum three year (preferably more) experience in a Project Administration role supporting business, operational, logistics, procurement, or customer delivery projects.
- Well‑developed skills in office software suites and project administration software.
- Excellent organisational skills, strong attention to detail, and the ability to coordinate multiple projects and deadlines.
- Experience preparing project documentation, maintaining project records, and coordinating multiple stakeholders will be highly regarded.
