About the Commission

The Aged Care Quality and Safety Commission (the Commission) was formed on 1 January 2019. We work to improve the lives of older people by maintaining the integrity of the aged care system.
As the single independent regulator of Australian Government aged care services, we offer a variety of interesting and challenging jobs across most capital cities.

It is an exciting time to join the Aged Care Quality and Safety Commission, with major reforms underway to improve aged care in Australia. You will be contributing to our role as the national regulator to safeguard and protect older Australians receiving aged care services.

About the Register

The Commission is seeking talented people with a broad cross-section of skills, experience, and qualifications to register for our Temporary Employment Register (TER). The TER assists with filling temporary positions across the Commission.

Purpose of position

We are seeking experienced, confident, motivated, and professional Executive Assistants who can manage short and often conflicting deadlines while providing high-level administrative support with limited supervision. You will be highly organised and have great liaison and negotiation skills, as well as highly developed written and verbal communication skills.

The successful candidate(s) will be required to work closely with Executive Officers to ensure Senior Executive Services (SES) Officers are prepared each day. You must be able to work independently and as part of a small team, build and sustain relationships and obtain cooperation and assistance across the Commission.

Position Duties

- Proactively support SES and Executive Officers by undertaking front of office functions, receiving and responding to phone calls, emails and correspondence, using initiative and discretion to prioritise tasks and actions under limited guidance.




- Ensure SES are aware of significant issues that require a timely response and requests for urgent information and correspondence are actioned in a reasonable timeframe.
- Manage SES diaries to meet business priorities and competing deadlines.
- Assist SES to prepare for meetings and appointments by understanding the purpose of the meeting and arranging for the necessary documents to be available prior to the meeting in a timely manner.
- Work closely with Executive Officers to develop appropriate systems, procedures and controls to enhance the accuracy and timeliness of workflow and tasks within Divisions and Groups, with an aim for continuous improvement.
- Work closely with Executive Officers to identify business priorities and actively support the Commissions strategic direction and relationships.
- Anticipate, organise, schedule, and coordinate all travel arrangements and accommodation for the SES and Executive Officers and manage the supporting documentation in a manner that is consistent with the Commission’s policies and procedures.
- Ensure Commission policies and processes are followed in the development of documents, including procurement and recruitment activities.
- Manage stakeholder requirements and expectations, room bookings and secretariat support for meetings, including compiling the agenda, disseminating papers, taking minutes (when required) and following up actions.
- Coordinate, track and respond as appropriate to incoming correspondence.
- Work as part of a high performing team to facilitate and support effective communication amongst Commission executives.
- Establish strong working relationships across all offices.

Key capabilities

- Previous experience proving high level support to an SES Band 1 or Band 2 or equivalent.




- Previous experience in a government or similar administrative setting is desirable.
- Demonstrated organisational skills at a high level to provide day to day administrative support to SES Officers.
- Knowledge, or the ability to quickly acquire knowledge of the role and functions of the Commission to support business priorities.
- Demonstrated ability to work in productive partnership to optimise performance and achieve business results.
- Ability to work with broad supervision, and to identify priorities to meet competing deadlines.
- Effective written communication skills, including the ability to draft various forms of documents and correspondence, and concisely summarise information.
- Ability to communicate with influence and work collaboratively to resolve complex issues.

Position Eligibility Requirements

To be eligible for employment with the Commission applicants must be an Australian citizen at the time an offer of employment is made. An applicant’s suitability for employment with the Commission will also be assessed through a variety of pre-employment check processes, such as:

- Satisfactory completion of a criminal history check,
- Completion of a medical declaration and pre-employment medical (where required).
- Providing evidence of qualifications (where required).
- Obtaining and maintaining a minimum of a baseline security clearance (where required).

Non-ongoing opportunities will be offered for varying periods with the option to extend to a total of 18 months.
