Executive Support and Coordination Officer
- Role: Ongoing, full-time (35hpw)
- Salary: Clerk Grade 7/8. Package includes base salary ($116,981 - $129,49 plus superannuation and annual leave loading.
- Location: Sydney CBD, with hybrid working conditions and a 50% office presence required. Flexible working arrangements may be available in line with the DCS Flexible Working Policy.
About the role: We are seeking a highly organised and proactive Executive Support and Coordination Officer to provide high-quality executive support, business coordination and administrative services that enable senior leaders to focus on delivering key priorities and outcomes. Working across teams, you will coordinate business activities, manage workflows and support the delivery of strategic and operational priorities. You will work closely with a diverse range of stakeholders and contribute to communications, engagement and coordination activities that support a connected, responsive and high-performing team environment.
Success in this role requires strong organisational skills, sound judgement, attention to detail, and a proactive approach to anticipating and responding to business needs.
Key responsibilities / About you:
- Provide executive support and coordination to enable efficient operation of executive functions, managing priorities, workflows and deliverables with accuracy and discretion and within agreed timeframes to ensure timely delivery.
- Coordinate executive governance processes, including meetings, briefings, correspondence, to support timely, well-informed decision making and compliance with organisational requirements and to ensure effective governance outcomes.
- Manage correspondence and information flows to ensure accuracy, consistency, confidentiality and alignment with organisational standards and approval processes to ensure compliant information flow.
- Coordinate communications and engagement activities, including managing inputs, review and approvals, to ensure accurate, timely communications aligned with organisational priorities.
- Maintain effective records and information management practices to support transparency, accountability and efficient day-to-day operations to ensure reliable record keeping.
- Build and maintain productive working relationships with key stakeholders to support coordinated executive support, effective engagement and timely resolution of requests.
- Exercise judgement in balancing competing priorities across executive governance and operational activities, proactively identifying and escalating issues, risks and opportunities to ensure continuity of operations.
- Identify and support continuous improvement initiatives across administrative, coordination and communications processes to ensure efficiency and consistency
To be successful in this role you will demonstrate:
- Demonstrated experience providing executive support, business coordination or administrative services in a complex, fast-paced environment.
- Strong organisational skills with the ability to manage competing priorities, coordinate multiple activities and meet deadlines.
- Well-developed written and verbal communication skills, including experience preparing correspondence, briefing materials, presentations and other business documentation.
- Proven ability to build and maintain effective stakeholder relationships and work collaboratively across teams.
- Experience managing workflows, tracking actions and supporting the delivery of business priorities.
- Ability to exercise sound judgement, maintain confidentiality and manage sensitive matters with discretion.
- Proactive and solutions-focused, with strong attention to detail and a commitment to high-quality customer service.
- Demonstrated proficiency in Microsoft 365 applications, including Outlook, Word, Excel, PowerPoint and Teams.
Experience using JIRA and eApprovals is preferable but not essential.
- Experience supporting communications, engagement or stakeholder activities, with the ability to adapt to changing priorities and business needs.
- Desirable: Knowledge of the cyber security and privacy landscape within NSW Government would be beneficial.
Essential requirements:
- Must be an Australian Citizen with an ability to obtain and maintain a NV1 level security clearance, and willingness to undergo a criminal history and identity verification and ongoing probity checks as a condition of employment.

About the team This role works across advisory, engagement and integration-related functions to support coordinated delivery across Cyber Security NSW. It contributes to stakeholder engagement, communications, business coordination, governance processes and key organisational events, helping ensure priorities, actions and information flow efficiently across teams and with key stakeholders.
Office of the Chief Cyber Security Officer The Office of the Chief Cyber Security Officer provides administrative and communications support for Cyber Security NSW to enable the coordinated delivery of organisational objectives. The team ensures risk is appropriately managed through oversight of the commercial and business activities for the organisation and provides high-level executive assistance to the NSW Chief Cyber Security Officer.

ID Support NSW delivers public-facing education and awareness programs that foster privacy and identity resilience across NSW and leads the NSW Government response to data breaches.

UA&E; uplifts the cyber security posture through tailored advice, security assessments and other initiatives to drive a cyber-aware culture.
Cyber Security Defence & Capability
Cyber Security Defence & Capability (CDC) provides safeguarding measures to strengthen cyber security across the NSW Government. CDC delivers plans for cyber incident recovery and response, develops bespoke intelligence of the cyber landscape and issues alerts for vulnerabilities impacting systems used by NSW Government agencies.
