Executive Assistant - Veterinary Hospital network

Join a values-driven, fast-growing veterinary hospital group as the right hand to the CEO and a key support to the wider Executive Leadership Team. This is a varied role spanning executive support, communication and strategic coordination, within a supportive and purpose-led environment — no two days look quite the same.

About the Role

Reporting directly to the CEO, you'll provide confidential, high-level administrative and strategic support to keep the executive office and leadership team running smoothly. You'll be trusted with real responsibility from day one, working closely across the business to help turn priorities into action. Fixed term parental leave cover (12 months) part time (0.5 FTE) with flexibility around time and days - currently Tuesday, Wednesday, Thursday 9am-4pm. Targeting an October start for handover.

What You'll Be Doing

- Acting as a trusted right hand to the CEO — providing proactive support across planning, communication and coordination
- Coordinating leadership and Board meetings: preparing materials, capturing minutes, and driving follow-ups and actions through to completion
- Drafting internal updates, presentations and reports that reflect the CEO's authentic voice
- Managing travel, diaries and logistics, and reconciling expenses to keep workflows moving
- Supporting strategic projects across the business — from presentation and report writing to project tasks and helping embed project management tools and frameworks
- Managing the administrative functions of the CEO's office, including correspondence, invoices, filing systems and supply/expense administration
- Arranging meetings and forums end-to-end — room bookings, invitations, catering, agendas and coordination
- Helping refine the systems, templates and processes already in place to keep the Sterling Group office running efficiently

What You'll Bring

- 3–5 years' experience providing high-level executive support to a senior manager in a demanding, dynamic and rapid-paced environment
- A Business Administration or Office Management qualification (preferred); Certificate IV in Business Administration (desirable)
- High-level computer literacy across Microsoft Word, PowerPoint, Excel, Teams and multiple Outlook accounts
- Superior written and verbal communication skills, with excellent attention to detail
- Proven success liaising with a wide range of internal and external stakeholders
- Strong organisational and problem-solving skills, with the ability to manage multiple competing priorities
- Demonstrated ability to prioritise and stay flexible within a complex, national and international work environment
- Proven initiative, sound judgement under pressure, and a track record of meeting deadlines
- Energy, enthusiasm and a genuine "can-do" attitude

Nice to have:

experience with business systems such as SharePoint or online travel booking platforms, and familiarity with digital project tools such as Notion or Trello.
