The Program Coordinator role will sit within Demi Apprentice and Training's RTO, specialising in the delivery of our apprenticeship program for barbering and hairdressing. Thei role will take ownership of the end-to-end apprentice journey, from admissions through to government reporting, apprentice processing and compliance, supporting apprentices and employers across Queensland, from Cairns through to the Gold Coast

Your Role
We're looking for an experienced Program Coordinator to manage the end-to-end apprentice program of works for our apprentice group spanning Cairns through to the Gold Coast, covering the majority of Queensland. Reporting to the RTO Manager, you'll be the go-to person for admissions, government reporting, apprentice processing and compliance,keeping our apprenticeship pipeline running smoothly from enrolment through to completion.
This is a hands-on process and reporting role. You'll need to be comfortable owning deadlines, working with government funding portals, and keeping compliance airtight across a large, geographically spread apprentice cohort.
Key Responsibilities
Admissions & Enrolment
- Manage apprentice admissions and enrolments across our Queensland-wide apprentice group
- Process training contracts and ensure documentation is accurate and complete
- Liaise with employers, apprentices and industry stakeholders throughout the admissions process
Government & Compliance Reporting
- Manage User Choice and state government funding submissions and reporting requirements
- Ensure all funding claims, contract variations and government reporting deadlines are met accurately and on time
- Maintain compliance with state training authority requirements and RTO standards
- Process apprentice progressions, extensions, suspensions, transfers and completions
- Track and manage training plan reviews and apprentice milestones
- Ensure apprentice records are accurate, current and audit-ready at all times
Program Administration
- Own the end-to-end apprentice program of works, from enrolment to completion
- Develop and maintain clear processes and reporting systems to support consistency across our regional apprentice base
- Identify and implement process improvements to reduce admin burden and improve turnaround times
- Provide regular reporting to the RTO Manager on program status, compliance and outcomes
Requirements
- Direct experience with User Choice and state government funding arrangements for apprentices
- Demonstrated experience managing end-to‑end apprenticeship processes — admissions, government reporting, apprentice processing and compliance
- Strong process management skills, with the ability to build and maintain explicit, repeatable systems
- Strong reporting skills and high attention to detail
- Ability to manage competing deadlines across a large, dispersed apprentice cohort
Preferred
- Experience using Axcelerate or a similar Learning Management System
