We are looking for a Practice Manager to run the operations of a single surgeon private urology practice specialising in adult urological conditions and cancer management.
You will be the operational leader of the practice — owning billings, managing a small team, supporting the surgeon with building referral relationships, and creating consistent systems that allow the practice to scale. The goal is – the surgeon focuses on patient care delivery, and you focus on the practice’s operations.
While we operate as a cloud-based, paperless, practice across multiple Melbourne sites, you will work primarily from home with on-site attendance as needed.
What You Will Own
- Theatre bookings and billings: Book patients for surgery and manage billings (including Medicare, Private health insurance & DVA).
- Oversee and support admin team: Supervising and assisting the team with medical administrative duties including fielding patient enquiries, appointment scheduling, diary management and ensuring accuracy and timeliness of billings, and team’s outputs.
- Systems & Documentation: Build and maintain SOPs (Standard Operating Procedures) and HR policies. Document all workflows so the practice runs on systems, not on any one person's knowledge.
- Referral Growth & GP Relationships: Maintain current referral sources and proactively support surgeon in building new GP relationships to enable growing the patient pipeline.
- Practice Performance: Stay across revenue and billings to flag issues early. You don't need to be an accountant — but you need to understand what the numbers mean for the business.
What You Bring
- Experience in surgical or specialist practice administration — theatre bookings, Medicare/private billing, and the rhythm of a surgical environment.
- Direct experience managing a small team and coordinating external stakeholders (hospitals, anaesthetists, GPs).
- Strong digital proficiency — comfortable with cloud-based practice management software, building forms, and improving workflows in a paperless workplace.
- Flexibility for on-site attendance as needed
