About the Role The Payroll Officer is responsible for the accurate and timely end-to-end administration and processing of weekly and monthly payrolls using Access Definitiv. The role will work with Finance and HR to translate legislation, awards, compliance and real-life circumstances into accurate, timely pay.
The Payroll
Officer manages complex payroll transactions including overtime, shift penalties, site and industry allowances, leave entitlements, salary packaging arrangements, employee deductions, and termination payments, while maintaining the highest levels of accuracy, confidentiality, and data integrity. Acting as the subject matter expert for payroll processes and system administration, the Payroll Officer supports both Finance and HR functions, providing guidance on payroll compliance, resolving payroll queries, and contributing to continuous improvement of payroll systems and processes.
Key Responsibilities 1. End to End Payroll Processing
Process weekly and monthly payrolls from commencement to completion using Access Definitiv.
Review and validate employee timesheets, attendance records, leave transactions and payroll variations.
Calculate wages, salaries, overtime, penalties, allowances,
bonuses and deductions in accordance with applicable Awards, Enterprise Agreements and employment contracts.
Process new starters, employee changes, promotions, transfers, salary increases and terminations.
Prepare and process final payments, including leave payouts and termination calculations.
Process payroll adjustments, back pays and corrections as required.
Generate payroll reports, banking files and payroll journals.
Complete payroll reconciliations and payroll sign-off procedures prior to payment.

Superannuation
Administration
Calculate and verify superannuation contributions.
Process superannuation payments in accordance with legislative requirements.
Ensure compliance with Payday Super obligations.
Reconcile superannuation payments and investigate discrepancies.
Liaise with superannuation funds and employees regarding contribution enquiries.
Coordinate engineering inputs and design implementation details.
Gather engineering criteria from tender sets or contractor information to assess design compliance.
Coordinate structural issues and solutions with the team.

Payroll
Reporting & Reconciliations
Reconcile payroll accounts and payroll-related general ledger balances.
Prepare payroll reports for Finance, People & Culture and Management.
Assist with monthly, quarterly and annual payroll reporting requirements.
Prepare payroll information for audits and compliance reviews.
Support payroll tax, workers compensation and statutory reporting requirements.
- Employee & Stakeholder Support
Respond to payroll enquiries in a professional and timely manner.
Provide guidance to employees regarding pays, leave balances, deductions and superannuation.
Work collaboratively with Finance and People & Culture teams to resolve payroll issues.
Maintain confidentiality and professionalism in all employee interactions.
Key relationships: Working closely with Finance, HR and employee’s across the organisation. Education, Work Experience & Skills required, Personal Qualities (Selection Criteria)
Education
Certificate IV in Payroll Administration, Accounting, Bookkeeping or related discipline.
Work Experience and Skills
Minimum 5 years' experience in end-to-end Australian payroll processing.
Demonstrated experience processing payroll in-house.
Strong working knowledge of Access Definitiv payroll software.
Experience processing both weekly and monthly payrolls.
