CBRE is looking for a Lease Administrator to join our dedicated team managing a commercial and retail portfolio for IFM Investors. Based out of any major Australian capital city, you will keep lease and tenancy data accurate and current, support both the property and finance teams, and ensure every tenant obligation, billing, and critical date is tracked and actioned.
This is a great fit for someone who takes pride in accuracy, manages competing priorities with ease, and wants to build deep expertise in lease administration within a high-profile institutional account.
In this role, you will:
- Examine and extract data from executed leases, licences, and tenancy documents for system setup and maintenance
- Maintain tenancy schedules, critical date diaries, and registers of bank guarantees, security deposits, and tenant insurance certificates
- Check and dispatch recurring tenant charges, outgoings recoveries, and sundry invoices with supporting documentation
- Liaise with the finance team on billing instructions, account reconciliations, and system issues
- Conduct tenant arrears control and manage associated communications
- Prepare accurate reporting against due dates and contribute ideas to improve processes and systems
About You
You're detail-oriented,
well-organised, and comfortable working with lease documentation and property management systems. You take ownership of your workload and bring a client-focused approach to everything you do.
- At least 1 year of property or lease administration experience, including with commercial property management systems
- Ability to read and interpret leases, licences, and other property documentation
- Intermediate Microsoft Office skills, particularly Excel and Outlook
- Property degree or equivalent preferred; strong administration and property experience also considered
