This full-time position is a two-year fixed-term contract

RCPA is the leading organisation representing pathologists and senior scientists across Australasia to deliver public education, research and initiatives that improve diagnosis, treatment and patient outcomes.

The Senior Administrator (Training Setting Accreditation) at RCPA plays a key role in supporting the accreditation of training settings with the RCPA in line with accreditation standards and procedures to ensure high quality and secure training environments for those pursuing pathology training.

This position ensures the smooth, effective, and compliant delivery of training setting accreditation processes and operations through high-level coordination, effective stakeholder communication, and meticulous record-keeping. Working with significant autonomy, the role requires initiative, sound judgement, a proactive approach to resolving operational issues and exceptional attention to detail.

The successful candidate will undertake the following responsibilities, including but not limited to:

Preparing the annual plan of training setting accreditation and maintains accurate and transparent communications to ensure stakeholders have access to reliable information.

Reviewing and processes accreditation and reaccreditation of training setting applications ensuring completeness and accuracy of applications.

Liaising with accreditation panels and the Training Setting Accreditation Committee in relation to accreditation and reaccreditation applications.

Conducting an annual review of training settings to identify those that require renewal and follows up proactively to ensure renewals are successfully coordinated and completed.

Accurately updating College records to ensure details of accredited training settings are maintained, including website information.





Providing advice and system generated reports to key stakeholders in connection with training setting accreditation.

Coordinating training setting visits including liaison with assessor panels and the Royal Australian College of Physicians (RACP) in relation to joint training settings.

Administering the annual audit of accredited training settings.

Providing accredited training setting statistics in a timely and accurate way to line-manager, the Training Setting Accreditation Committee and other stakeholders as required and requested.

Preparing and provide system generated reports highlighting critical incidents and adverse events impacting training programs, registrars, supervisors and training sites.

Providing NATA with training setting accreditation reports and information ahead of NATA training setting visits.

Supporting areas of work related to projects and initiatives by attending meetings and providing executive summaries relating to training setting accreditation projects.

Coordinating the delivery of AMC training setting accreditation model standards and procedures in consultation with key stakeholders and actively supports the implementation of required changes.

Scheduling and coordinating the annual Training Setting Accreditation Committee meetings according to its terms of reference, including implementation of required actions and outcomes, in consultation with line manager.



Drafts agendas and provide secretariat support to the Committee Meetings in a timely manner.

Preparing and distributes timely and accurate minutes and ensure timely follow-up on all action items.

Updating and reviews policies, guidelines and position statements in relation to the model training setting standards and procedures.

Maintaining comprehensive records in College systems.

Identifying and supporting opportunities for process improvements and actively contributes to the development of Workflows and Standard Operating Procedures.

Actively contributing to the annual monitoring submission to the AMC and relevant College committees.

Maintaining and ensuring information on the website is up to date and accurate in relation to Training Setting Accreditation. Other duties as directed by the Program Manager (Training and Education Administration).

Essential Criteria

Tertiary qualifications and/or equivalent experience and training.

Excellent verbal and written communication skills, with experience in handling a wide range of enquiries at all levels and providing excellent customer service.

Highly developed relationship management skills.

Advanced knowledge of Microsoft software packages, database management and CRM experience is desirable.

Precision and attention to detail; systems approach to problem solving.

Excellent organisational, problem solving and interpersonal skills and the ability to work autonomously, and in a team.

Desirable Criteria

Demonstrated understanding of the AMC standards in specialist medical education and training.

Demonstrated experience in a complex health and/or education environment.

Travel Requirements

Occasional domestic and international travel may be required.
