Selection Criteria

About the Role
This is a unique opportunity for you to work in the initial development of school processes for a foundation secondary school, growing one year level each year from Year 7 in 2024 to Year 12 in 2029.
Given the school is in the third year of establishment, the teaching, learning and student support practices are based on the latest evidence-based research. The brand-new facilities support 21st century skills and these teaching and learning practices.
You will be supported by education support staff, teachers, and leaders in a highly collaborative workplace, with opportunities for professional development and career advancement

As a member of Staff, you will have input and play a vital role in the implementation of school processes within your area.
Accurate data recording is important as it reflects in the provision of information and reports to Families, Staff, School Council and the Community.

The College will follow a strict style guide for the development and publication of correspondence, to ensure a consistent presentation of all school documents.
The HR Manager is part of the Administration Team, whose responsibility is to work co-operatively as part of the team, ensuring a productive, efficient workplace.
About You
We are seeking a highly motivated and skilled education support staff to contribute to the success of a high achieving secondary school. As a school we believe that by providing students with a greater level of wellbeing support they are most likely to experience improved academic outcomes. The ideal candidate should possess a range of characteristics that will contribute to the success of our students and uphold the school's commitment to excellence in education. Education Support Staff will be responsible for delivering support for the school staff and student learning environment.
Responsibilities
Human Resources Administration
- Complete and monitor administrative work in eduPay relating to salaries, leave, time fraction changes and other associated work.
- Ensure changes to staff employment are documented in letter format and filed accordingly
- Monitor fortnightly pay certification reports and over/underpayments, actioning as required.
- Administer and document all staff absences in eduPay, ensuring staff submit their leave requests in a timely manner and according to DE guidelines, supporting them to do so if necessary
- Prepare employment contracts in accordance with DE guidelines and complete the hire process for all new staff on Edupay.
- Manage school¿s local payroll, preparing and monitoring timesheets in conjunction with School Operations staff, ensuring all DE, ATO and superannuation requirements are adhered to.
- Communicate & confirm new staff employment details to relevant staff
- Maintain spreadsheets with staff workforce planning details and monitor critical dates i.e. contracts, long term leave, parental absences, time fraction changes.
- Maintain VIT and WWCC records for all staff and complete suitability for employment checks.
- Review, update and communicate all staff specific policies and processes regularly i.e., leave
- Provide advice regarding conditions of employment and employee relations, lodging calls to DE HR for support as required
- Stay abreast of changes to DE HR policy and the VGSA bringing matters to the College Executive¿s attention as relevant
- Manage confidential storage and retrieval of personnel and payroll files.
Recruitment
- Advertise staffing vacancies on DE School Jobs Vic website as directed by the Principal or Business Manager
- Download applications for all advertised vacancies and distribute to panel members
- As directed by the Panel Chairperson schedule interviews of shortlisted candidates
- Send out emails to shortlisted candidates confirming interview details and requirements
- Book interview rooms using Compass
- Provide a schedule of interviews to the panel members
- As directed by the Panel Chairperson,
prepare interview questions and print for the panel
- Assist in the coordination of referee checks for the Panel Chairperson
- Assist in the coordination of candidate question time and ferrying of candidates to interview room
- Maintain a register of advertised vacancies and outcomes
- Ensure Selection Panel Report and Documentation is retained and stored as per DE guidelines
Workplace Health & Safety
- Administer WorkCover claims & act as the College¿s Return to Work Coordinator in conjunction with the Principal and Business Manager
- Support implementation and ongoing maintenance of the School's Occupational Health and Safety (OHS) framework.
- Support the effective use of Department of Education reporting systems including EduSafe Plus and AIMS.
- Ensure incidents, hazards and near misses are accurately recorded, investigated and monitored.
Other Duties
- Perform general education support staff duties as required in the event of absences of other staff including reception and first aid duties in the Administration Office
- Understanding & competent in performing the Daily Organiser/School Operations Manager role, acting in this position as required.
- As required, assist in Accounts Payable and Accounts Receivable tasks, entering data into CASES21
- Assist in the management of SRP tasks and leave reimbursement claims
- Maintain strict confidentiality in relation to all staff operations in general.
- Ensure work areas are in a clean, safe and orderly condition at all times.
- Ensure professionalism, efficiency, cheerfulness, reliability, politeness and teamwork are implemented, followed and supported at all times.
- At all times working to create a professional environment, which upholds and displays the schools values of high expectations, collaboration, respect, and responsibility.

Other Information
This is a full time position, Monday to Friday. Working hours are 8.00am to 4.06pm including a 30 minute unpaid lunch break.
School Holiday attendance requirements for this position can be negotiated however will be required at times up to a maximum of 10 days per year. A leave purchase allowance will be paid for school holiday attendance.
Education Support Class positions include 50 days (pro rata) of annual and additional paid leave per year which is taken during the school holidays as per the Victorian Government Schools Agreement (VGSA).

About Us
Yarrabing Secondary College opened in Term 1 2024 and provides the growing local population with great educational opportunities close to home. In 2026 Yarrabing Secondary College had a student population of 680 students in Year 7, 8 & 9. The college will progressively grow by one year level thereafter. In 2027, we will have Year 7, Year 8, Year 9 and Year 10 students only. In 2027 it is anticipated that there will be provision of a small number of VCE studies to its accelerated Year 10 students that the college is currently in the process of accrediting for. By 2029, the college will provide an extensive senior school offering to its senior students of traditional VCE subjects, as well as VM, VPC and VET.
Yarrabing Secondary College is located 29 kilometres west of Melbourne, in the suburb of Aintree. When fully established in 2029, the school is anticipated to have 1400 students enrolled from Year 7 to 12 and 130 school staff members.
Our school grounds are close to planned parklands, sporting facilities, and we are surrounded by a supportive community. Most students that will attend our school live locally and would tend to walk or ride their bike to school.
Our school will be culturally diverse with many of our students having a language background other than English (LOTE) spoken in the family home, with the largest LOTE languages being Hindi and Punjabi. We are proud of our diversity and our inclusive school community.
