Selection Criteria
1. Demonstrated High-Level Organisational and Time Management Skills
Demonstrated ability to effectively manage multiple priorities in a fast-paced environment. Proven experience coordinating complex schedules, managing competing deadlines, and maintaining accuracy under pressure. Highly organised with strong attention to detail and the ability to adapt to changing circumstances while ensuring continuity of operations.
2. Communication and Interpersonal Skills
Demonstrated ability to communicate effectively with all stakeholders with proven capacity to build positive professional relationships and communicate clearly both verbally and in writing. Able to handle sensitive matters with discretion and professionalism
3. ICT and Systems Proficiency
Demonstrated experience using Microsoft Office applications including Word, Excel, Outlook, and Teams, with the ability to learn and utilise school administration systems. Experience with Compass and Griddle would be an advantage but is not a prerequisite Ability to prepare reports, manage data, and maintain accurate records.
4. Ability to Coordinate Daily Staffing Requirements
Experience coordinating rostering, staff replacements, leave management, or workforce scheduling. Ability to make sound decisions regarding staff allocations, organise Casual Relief Teachers (CRTs), and ensure operational requirements are met efficiently and effectively
5. Ability to Work Independently and as Part of a Team
Demonstrated ability to take initiative, exercise sound judgement, and work independently while contributing positively to a collaborative team environment.
6. Demonstrated Capacity to Exercise Sound Judgement and Problem-Solving Skills
Demonstrated ability to analyse situations, identify priorities, and make informed decisions in a dynamic and fast-paced environment. Experienced in responding to unexpected operational challenges while maintaining a calm and professional approach. Proven capacity to develop practical solutions, anticipate potential issues, and ensure the smooth and efficient operation of daily school activities with minimal disruption to student learning.
Role
Range 3 is distinguished by the introduction of management responsibility and accountability for the delivery of professional support services. The role will usually impact beyond the work area or professional field. It seeks to gain cooperation of other staff members or members of the school community to achieve specific objectives, such as in school administration, operations or educational programs.
Direction on targets and goals is provided but the position will have some degree of latitude in determining how they are achieved. This latitude will generally be limited by standard procedures and school policy. Deviation from standard procedures and school policy will require guidance and direction from senior management.
The provision of business management responsibilities becomes a feature at range 3. Management of staff to achieve the expected outcomes is a key responsibility. Staff management issues will be resolved with minimal reference to senior management, although guidance will be required in more complex cases. Senior management will be provided with timely reports and advice, although this will generally be confined to matters relating to the immediate work area, service provision or educational program and is unlikely to impact substantially on whole of school operations.
This is the minimum range for positions that carry a mandatory qualification requirement of not less than four years. Professional student support positions become a feature at range 3 (e.g. therapists, psychologists) where standard professional services are delivered. Professional support and guidance will be close at hand and deviation from standard procedures and school policy will require guidance and direction from senior management.
An education support class position supports the educational services being provided to students, but must not include duties of teaching as defined in clause 2.6.1 of the Education and Training Reform Act 2006 (Vic) or its successor. Supervision of students cannot be required except where it is an integral part of the employee¿s position or involves supervision of students individually or in small groups, in controlled circumstances, where the responsibility for students remains clearly with a teacher.
Responsibilities
Daily Operations and Communications
1. Coordinate and organise the daily organisation of the College, including the daily replacement of absent staff with Casual Relief Teachers (CRTs).
1. Attend briefing and update staff on any changes to the daily and future program.
1. Read and respond to communication from staff and CRT providers.
2. Ensure all classes, yard duties and events are appropriately covered by CRTs or staff.
3. Contact, book and coordinate CRTs.
4. Plan for the equitable allocation, distribution and tracking of `in lieus¿,
and under allotted classes according to the College¿s guidelines and report to the Principal team and the Consultative Committee.
5. Inform staff of daily changes via MS Teams.
6. Synchronise data to Compass and change staffing for extra classes on Compass.
7. Liaise with a Principal Class team member on daily changes and staffing changes.
- Maintain a bank of CRTs and liaise with the Principal team around CRT employment.
- Maintain and follow-up the daily organisation diary to ensure significant impactful events on the College can be managed with available staff.
- Use approved leave information to plan, determine and track CRT coverage.
- Liaise with the Principal Class Team in the preparation of reports on staff absences, CRT expenditure and reconciliation of CRT expenditure on professional development, excursions and school events.
- Develop and maintain CRT induction folders.
- Induct and brief agency CRTs on school processes and policies and laptop use.
- Log CRT laptop use.
- Liaise with Learning Area Leaders/teaching teams to assist with work required for replacement classes.
- Report to the Principal team when work has not been left for planned absences.
College Operations
1. Maintain College Policies timeline to ensure policies are up to date according to their review cycle, utilising the Department¿s templates and liaising with the relevant College leaders.
2. Ensure policies are sent to the relevant staff member to update on the College website.
3. Administer, implement and communicate College Operations processes in line with DE policies and procedures, as well as the College¿s Excursions, Activities and Camps policies.
4. Liaise with teachers to ensure excursion/Incursion administration including risk assessments, Student Activity Locator entries, Time in Lieu, venue and bus bookings are completed in a timely manner, as per DE and School processes and policies.
5. Prepare College Operations Team meetings¿ agenda and update events as required.
6. Oversee the effective running of College events including student attendees, non-attendees and staffing.
7. Document College Operations processes including but not limited to events, daily organisation and upload to Microsoft Teams.
Compass Management
1. Communicate Compass updates to relevant staff in a timely manner.
2. Coordinate with the Assistant Principal - Inclusion, Engagement & Wellbeing the exporting of data.
3. Coordinate with the curriculum leader to set up progress and semester reports.
4. Monitor learning tasks on Compass under the direction of the Principal team.
Programs
1. Plan for College events using timely and efficient strategies.
2. Complete Administrative tasks associated with whole school events as required by the Principal team, including but not limited to assemblies and information nights.
3. Coordinate School Photo and Immunisation Program and associated processes (ie. following up absenteeism and photo audits).
4. Coordinate Semester Awards and Night of Excellence In consultation with the Principal team.
5. Coordinate the end of year program (Summer program).
6. Liaise with camp leaders to coordinate the administration of camps such as booking venues, activities and transport.
7. Publish on Compass programs and school events (including, but not limited to, NAPLAN, exams, engagement days, orientation days, early commencement).
8. Create professional learning sessions on PD Tracker, add staff attendance and print certificates for staff at the end of end year.
9. Ensure the DE medical forms, consent forms and risk assessments are completed, signed and filed for camps and excursions.
OH&S; Audit
1. Liaise with the Assistant Principal to ensure compliance with Occupational Health and Safety regulations, policies and procedures.
2. Liaise with the Assistant Principal to ensure the Emergency Management Plan is updated and implemented.
Other Duties
- Other duties as required by the Principal or their delegate.
