About the Role

We are seeking a highly organised and customer-focused Operations Coordinator to join our Melbourne team. This role plays a critical part in coordinating day-to-day dispatch, transport and export operations, ensuring the timely and compliant movement of time-sensitive clinical trial and healthcare shipments.

Working in a fast-paced environment, you will collaborate with drivers, clients, airlines, vendors and global operations teams to deliver exceptional service, resolve operational challenges and ensure shipments reach their destination safely and on time. Strong dispatch experience is essential for success in this role.

Key Responsibilities

Your duties will include, but are not limited to:





- Coordinating and scheduling drivers, including route planning, job allocation and managing driver queries and operational issues.

- Supporting dispatch operations, including freight scanning, freight reconciliation and providing leave coverage for dispatch team members.

- Conducting export console checks to ensure physical freight aligns with system records.

- Managing export operations, including preparing Shipper's Letters of Instruction (SLIs), shipment labels and driver documentation packs.

- Utilising CargoWise and other operational systems to manage shipment workflows and documentation (experience preferred).

- Performing regular stock counts and inventory reconciliations.

- Preparing and approving Credo packaging requirements in accordance with operational procedures.

- Assisting with the day-to-day oversight of facility operations as required.

- Liaising with subcontractors, vendors, airlines and service providers to ensure service delivery requirements are met.

- Coordinating airline bookings and related shipment arrangements.

- Monitoring shared inboxes, reviewing requests and ensuring timely action and follow-up.

- Proactively managing shipment milestones and turnaround times (TATs) to ensure service level commitments are achieved.

- Providing regular updates on shipment status, expected delivery times and any potential delays.

- Coordinating shipments with Operations teams, agents and global office networks as required.





- Tracking and tracing shipments to ensure visibility throughout the transport journey.

- Communicating operational issues, exceptions and delays to clients and stakeholders in a timely and professional manner.

- Providing proof of delivery, temperature monitoring results (where applicable) and other shipment-related documentation to clients and stakeholders.
