Hotel Administrator (Front Office & Accounts) – Part Time
Overview
We are seeking an organised, customer-focused Hotel Administrator to join our team on a part-time basis. This role blends guest interaction with finance and administration responsibilities. It’s ideal for someone who enjoys a dynamic environment with variety and impact. Reporting to the General Manager and the Front Office Manager
What you’ll bring
Previous experience in a hotel Front Office or Hospitality Administration role.
Experience with Accounts Receivable, Accounts Payable, Payroll, journal processing, and general accounting functions.
Experience using Opera Cloud (Hotel Property Management System).
Solid Microsoft Office skills, especially Excel.
Excellent organisational skills and attention to detail.
Ability to prioritise multiple tasks and meet deadlines.
Solid communication and interpersonal skills.
Positive, flexible, and proactive approach.
High level of integrity and confidentiality when handling financial information.
Passion for delivering exceptional customer service.
What you’ll do
Front Office
Welcome guests warmly and professionally.
Manage efficient check-ins and check-outs.
Handle reservations, guest enquiries, and telephone calls.
Process guest payments and maintain accurate guest accounts.
Deliver exceptional customer service and resolve enquiries professionally.
Support the Front Office team during busy periods to ensure a seamless guest experience.
Assist with group queries.
Accounts
Accounts Receivable: prepare and issue invoices, allocate payments, maintain debtor records, follow up on outstanding accounts, and assist with month-end reporting.
Accounts Payable: process supplier invoices, match to purchase orders, reconcile supplier statements, prepare payment runs, and maintain supplier records; ensure accurate coding and allocation of expenses.
Payroll: assist with payroll processing, review timesheets, maintain confidential payroll records, and respond to payroll enquiries.
General Accounting: prepare and post journals, complete daily banking and reconciliations, assist with month-end and year-end procedures, maintain filing systems, and support financial reporting to the General Manager.
Administration
Assist with reporting, document management, and data entry.
Support operational departments with administrative tasks as required.
Maintain office supplies and filing systems.
Undertake other duties to support effective hotel operations.
