Due to growth, we're seeking a motivated individual who takes pride in their work to join their team as a Production Administrator.
Reporting to the Production Coordinator, the Production Administrator provides essential administrative and operational support to the Production Coordinator and broader production team, ensuring production documentation, systems, communications and operational information are accurate, current and readily available.
This position requires a highly organised, proactive and confident individual who thrives in a fast-paced manufacturing environment.
The successful person anticipates what needs to happen next, follows through on commitments, confidently communicates with employees across all levels of the business and actively removes administrative roadblocks that could impact safety, quality, productivity or customer delivery.
The Role: Provide direct administrative and operational support to the Production Coordinator including coordination of priorities, proactively follow up on actions, minutes/actions from production meetings, coordination of urgent jobs and production changes.
Follow up outstanding drawings, purchase orders, materials and documentation as required.
Prepare, issue and maintain production job packs, drawings, work instructions and manufacturing documentation.
Maintain filing systems and production records in accordance with the company's Quality Management System to ensure all production documentation (hard copy and electronic) is complete, accurate and available before work commences.
Support the Production Coordinator in developing, maintaining and reviewing the production schedule (daily work flow, short and long term planning) to ensure work priorities align with customer commitments, available resources and operational capacity.
Maintain and regularly update the Production Priority and Back Order List, ensuring priorities remain current, visible and communicated to relevant stakeholders.
Monitor progress against the production schedule and proactively identify delays, bottlenecks or risks that may impact delivery.
Maintain accurate job status within CRM/Production systems and coordinate updates to production eg customer requests, engineering revisions, material availability or operational constraints.
Support the update Bills of Materials (BOMs), routings and production information as directed.
Prepare daily, weekly and monthly production reports including production performance, labour utilisation, work in progress, schedule adherence, back orders and delivery performance.
Assist with subcontractor administration where required.
Help ensure materials, documentation and information are available to support production schedules.
Participate with continuous improvement initiatives including i dentify opportunities to simplify administrative and production coordination processes/workflow.
What we're looking for: Essential Certificate III or IV in Business Administration, Manufacturing Administration, Operations or equivalent experience.
Minimum three years' experience in an administration, production support or coordination role within manufacturing,
engineering or industrial operations.
Drivers licence Exceptional organisational, planning and prioritisation skills.
Strong administrative capability with excellent attention to detail.
Highly proficient in Microsoft Office, particularly Excel, Outlook, Word and Teams.
Experience using ERP systems Excellent written and verbal communication skills.
Strong ability to prioritise multiple competing tasks in a fast-paced environment.
Confident communicator capable of following up actions with employees at all levels of the organisation.
Self-motivated with the ability to work independently and anticipate operational needs.
Professional, adaptable and solutions focused Desirable Experience within mining, manufacturing or heavy engineering.
Knowledge of Bills of Materials (BOMs), routings and manufacturing documentation.
Experience supporting production planning or scheduling.
