Our client is seeking an experienced Executive Officer to provide high-level support to the Chief Executive Officer, Chair and Board while leading key administration, reception and scheduling functions.
This position would suit a highly organised and professional executive support specialist who can manage competing priorities, exercise discretion and provide confident leadership within a purpose-driven, not-for-profit environment.
What you'll be doing: Providing confidential executive support to the CEO, Chair and senior leadership team Managing complex diaries, emails, meetings, travel arrangements and competing priorities Preparing high-quality reports, presentations, correspondence, policies and proposals Coordinating Board, committee, executive and Annual General Meetings Preparing and distributing agendas, Board papers, minutes and supporting documentation Acting as a key contact for internal and external stakeholders on behalf of the CEO and Chair Leading and supporting the Administration, Reception and Scheduling teams Overseeing workforce scheduling, workflow coordination and service-delivery requirements Coaching and mentoring team members while promoting accountability and continuous improvement Coordinating organisational events, functions, hospitality and special projects Building relationships with government, academic, aged-care and community stakeholders Supporting strategic-plan reporting, organisational memberships and subscriptions Tracking and reconciling company credit-card expenditure Participating in workplace health and safety,



quality assurance and process-improvement initiatives What you'll need: Extensive experience supporting CEOs, senior executives, Boards and committees Previous office and team-management experience Demonstrated experience leading, coaching and mentoring a small team Strong Board and corporate-governance administration experience Exceptional organisational skills and the ability to manage competing deadlines Confidence preparing professional reports, presentations and executive correspondence Excellent written and verbal communication skills Solid stakeholder-management skills and the ability to communicate at all levels Advanced proficiency in Microsoft 365 and desktop publishing The ability to work independently, use initiative and handle sensitive information confidentially A sound understanding of organisational risk, compliance and workplace safety A genuine commitment to supporting a values-led organisation Previous not-for-profit experience would be highly regarded What's in it for you: Senior executive support and operational leadership opportunity Work closely with the CEO, Chair, Board and executive team Lead and support administration, reception and scheduling functions Contribute to a respected, purpose-driven not-for-profit organisation Varied position combining executive support, governance, leadership and stakeholder engagement How to apply: To complete your application, please click the "APPLY" button.
